**PA to Associate Director**
To provide a comprehensive administrative and secretarial service, providing full support to all committees chaired by the Associate Director of Community Services
**Sector: Healthcare**
**Working days and hours: Monday to Friday, 9am to 5pm, 37.5 hours per week**
**Temporary**: Expected to last 2 months with a possible extension
**Location**: Frimley
**Pay Rates**:£11.30 paye inclusive of Holiday pay or £12.50 Umbrella per hour
**Start**:ASAP
**Duties and responsibilities**:
- To provide a full, high quality administrative and secretarial support to the Associate Director for Community Services and Older People’s Medicine, maintaining confidentiality at all times.
- To provide support to the Associate Director for Community Services and Older People’s Medicine on differing work streams across the Trust.
- To co-ordinate the diary of the Associate Director, the booking of venues for meetings, formal minute taking, responsible for following up action points, and the preparation and distribution of agendas and related documentation. To prepare meeting papersfor the Associate Director when needed.
- To provide comprehensive confidential administrative support to the Community Services and Older People’s Medicine Directorate. To work closely with the Directorate Senior Management Team and the teams’ Administrators.
- To review incoming mail, link with relevant records, determine priority and arrange the dispatch of outgoing mail.
- To prepare relevant and required documentation for Board of Director meetings, Project Seminars, Conferences, Management meetings and Induction days.
- Creating and designing Powerpoint presentations when required.
- Using the TRAC recruitment system to help with the advertising and recruitment of new job roles.
- To prioritise, plan and organise own work schedule, ensuring that anticipated difficulties in meeting deadlines are promptly reported
- To maintain an up-to-date filing system and operate a bring forward/follow up system for outstanding actions
- To deputise for the PA to the Head of Service as necessary.
- To ensure secure storage and archiving of information as required.
- To co-ordinate and arrange the distribution of various policies, procedures and other related documentation as directed.
- To be responsible for the general maintenance of office equipment and necessary supplies.
- To provide administrative support to the Senior Management Team as required, during periods of annual leave or sickness.
- To ensure that Trust standards are adhered to in relation to all documentation and confidential information.
- On occasion, work at different sites of the Trust as required by the Associate Director, Chief of Service and Head of Service, for example to take minutes of meetings.
- Assist the Associate Director in managing their cross-site responsibilities by being flexible and responsive to their need
