**Job Title: Personal Assistant to the Managing Director - Hospitality Industry**

Reports To: Managing Director

Position Type: Full-Time (hybrid)

Job Overview:
Key Responsibilities:
**-Calendar and Schedule Management**:

- Organize and maintain the Managing Director's calendar, ensuring all appointments,

meetings, and events are scheduled efficiently, monitoring and managing any changes required etc.
- Prioritize and manage competing schedules, ensuring that the Managing Director’s time is allocated effectively.
- Coordinate both professional and personal appointments, meetings, and travel, ensuring all logistics are in place.
**- Communication and Correspondence**:

- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Serve as a point of contact between the Managing Director and internal/external stakeholders, ensuring timely communication.
**- Meeting and Event Coordination**:

- Organize and prepare for internal and external meetings, ensuring the Managing Director has all required materials, agendas, and briefing notes.
- Take notes and minutes during meetings, tracking actions and deadlines.
- Coordinate and assist with the planning and logistics of company events, conferences, and personal engagements.
**- Project Management and Research**:

- Assist with ad-hoc projects, research, and administrative tasks as directed by the Managing Director/other directors, collaborating with different departments as required.
- Track progress of ongoing projects and provide updates to the directors on key deliverables and deadlines.
**- Client and Stakeholder Relations**:

- Develop and maintain positive relationships with key clients and stakeholders, ensuring a high level of service and professionalism.
**- General Administrative Support**:

- Perform general administrative duties, such as filing, maintaining records etc.
- Manage the Managing Director’s inbox and digital file management, ensuring documents are stored and easily retrievable.
- Assist with general office management tasks as required i.e. managing office supplies, equipment and other administrative needs.
- Assist with HR-related tasks, such as onboarding new employees and maintaining personnel records.
- Assist with scheduling of statutory maintenance for each of the pubs, co-ordinating contractor arrival, maintaining records etc.
- Assist with sales & marketing-related tasks as required (e.g. as holiday cover for the Sales & Marketing Manager) such as dealing with guest enquiries, co-ordinating room bookings, updating marketing materials, social media monitoring etc.
**- Personal Management**:

- Assist with occasional ad hoc personal errands and tasks.
**- Confidentiality and Discretion**:

- Handle sensitive and confidential information with the highest level of professionalism and discretion.
- Manage personal and business matters with a sense of urgency and confidentiality.

Key Skills and Qualifications**:

- Experience**:

- Minimum of 3-5 years of previous experience as a Personal Assistant, Executive Assistant, or in a similar role, preferably in the hospitality or service industry.
**- Skills**:

- Exceptional organizational and time-management skills with a keen eye for detail.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to multitask and adapt quickly to shifting priorities in a fast-paced environment.
- High level of professionalism, integrity, and confidentiality.
- Proactive, adaptable, and resourceful, with a problem-solving mindset.
- Calm under pressure with the ability to handle multiple demands simultaneously.
- Friendly and approachable with strong interpersonal skills.
- Discreet and trustworthy in managing sensitive information.

Pay: Up to £32,000.00 per year
