**Job Summary**:
The Practice Administrator/Secretary will work as a flexible member of the team and report to the Assistant Practice Manager and IT Manager or Practice Manager in their absence.
The Practice Administrator/Secretary will be responsible for a range of administrative and secretarial duties working alongside our administration team/Part time Secretary and IT Lead. You will support the practice with records summarising, coding, scanning, registration - including processing records for patients to access online, prescriptions, and medical secretarial cover. The Practice
Administrator/Secretary will provide the above general admin and secretarial assistance to the practice team in a positive and friendly manner.
- Knowledge of SystmOne and medical terminology are desirable
- Excellent communication skills
- Attention to detail and efficient time management
- Experience in a similar role/environment would be beneficial
The post will suit an experienced, enthusiastic, and self-motivated person with excellent organisational and interpersonal skills. This is a varied and extremely busy role; you will need excellent verbal and written communication skills, meticulous attention to detail and a flexible approach to work.
The position is suitable for someone who can work as part of a team but also using their own initiative, problem solve, be self-sufficient and manage their own workload effectively.
**Key Responsibilities**:
As a Practice Administrator/Secretary you would need to demonstrate an understanding of, and to work in accordance with practice policies, procedures, and protocols. The role will also require:
- General secretarial duties
- PRISM referrals, rejections, Advice and Guidance and 2 week wait referrals
- Insurance reports / Solicitors’ reports
- Dealing with telephone enquiries from patients and secondary care colleagues
- Scanning documents to patient records and general scanning duties
- Processing incoming post and read coding patient records appropriately
- Summarising and coding of medical records
- Processing of Prescriptions via EPS
- Administration for patient online access to medical records
- Medical record requests in the form of SAR requests
- Administration for the call and recall system (med review system)
- Other administration duties
- To be flexible within the team and welcome a challenge

- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified.
