- Telephone clients to book in/fill up engineers weekly diaries.
- Manage agendas/travel arrangements for the service engineers’ movements.
- Manage customer Pre Planned Maintenance contracts ensuring visits are made on time.
- Manage service engineers emergency call outs.
- Support budgeting and bookkeeping procedures.
- Prepare customer invoices and manage supplier invoices through company CRM software.
- Chase late payments.
- Prepare figures for payroll (Service Engineers hours and overtime).
- Create and update records and databases with personnel, financial and other data (CRM software).
- Track stocks of office supplies and place orders when necessary.
- Submit timely reports created by the CRM software.
- Assist colleagues whenever necessary.

Requirements and skills
- Proven experience as an office administrator, office assistant or relevant role.
- Outstanding communication and interpersonal abilities and not afraid to pick up the phone.
- Excellent organizational and leadership skills.
- Good knowledge of MS Office, MS Word and service management software (SimPro or other).
