**Office Administrator - Job description**

The Office Administrator plays a pivotal role in ensuring seamless customer experiences and efficient logístical operations. They are responsible for managing customer orders, resolving issues, and coordinating with various stakeholders to facilitate smooth order fulfilment and delivery processes.

**Responsibilities**:

- Customer Services & Sales Support:_
- Process customer orders daily for production, ensuring accuracy and timeliness.
- Generate draft customer invoices, update upon receipt of packing sheets, and promptly issue to customers.
- Communicate with customers regarding order delays or changes, ensuring proactive resolution of any issues.
- Resolve delivery discrepancies promptly, including the amendment of invoices as necessary.
- Manage online sales orders received via the company website, ensuring timely processing and fulfilment.
- Support the sales team by facilitating the posting of samples to customers.
- Expedite issue resolution to prevent payment delays, maintaining effective communication with customers regarding outstanding payments.
- Logistics Support:_
- Prepare packing sheets for the production despatch team, ensuring accurate documentation for order fulfilment.
- Generate delivery notes for orders ready for collection, facilitating smooth logistics operations.
- Coordinate with transport companies to arrange the collection and delivery of orders to customers, optimizing transportation efficiency.
- Validate proof of delivery (POD) against transport invoices, promptly resolving any discrepancies.
- Prepare and print daily production reports to monitor operational performance.
- Manage the ordering of pallets to meet production requirements, ensuring adequate inventory levels.
- General:_
- Prepare a weekly report comparing orders versus despatch, providing insights into operational efficiency.
- Perform any other administrative duties as required to support efficient business operations.
- Skills & Experience:_
- Ability to manage competing priorities effectively.
- Confident and friendly telephone manner for effective customer communication.
- Proficiency in Microsoft Excel and strong spreadsheet skills.
- Ability to work under pressure with a high level of accuracy.
- Previous experience in a fast-paced environment preferred, but full training will be provided.
