We are looking for an experienced administrator to join our small pre school on a part time basis of 5-10 hours per week. Pay is negotiable and depending on skill.

We are looking to hire asap, pending a successful dbs check.

Main duties:
1. To promote the setting’s vision and values throughout provision and practice

2. To understand and work to the setting’s policies and procedures e.g. child protection, health and

safety, confidentiality

3. To support the Management Committee to ensure the Pre-School complies with legal requirements and has an effective administrative support for daily operations. Attend committee meetings providing reports as required.

4. To support the Management Committee, Manager, Ofsted and other professionals as necessary, and to implement any administrative recommendations made following regulatory and funding inspections.

5. To support the Management Committee with the implementation and review of the setting’s business plan, policies and operating procedures, and risk assessments ensuring compliance with regulation and best practice, including those relating to anti-bribery at work, confidentiality, equality and diversity, food safety, hygiene, health and safety, register and signing out procedures, safeguarding, whistleblowing and financial management.

6. To provide administrative support to the management committee, fundraising team and staff for marketing and advertising for the pre-school, job vacancies and events and to liaise with and encourage parental involvement.

7. To provide administrative support to the Manager with admissions procedures, daily registers, staff rotas, sickness and training records, recruitment and central records, archiving records.

9. To carry out day to day administration and purchase of resources and equipment, working within an agreed budget and providing reports as required.

10. To ensure that children’s records are kept up to date, including emergency contacts and medical forms, and that relevant information is made available to staff.

11. To prepare the daily attendance registers for children staff and visitors.

12. To assist in ensuring that Hendreds is a safe environment for children, staff and others, that equipment is safe, standards of hygiene are high, safety procedures are implemented at all times fire drills are regularly practiced, and maintenance and annual servicing is carried out.

13. Produce termly newsletters and general notices from staff or committee in partnership with the Manager and Management Committee

14. Deal with all financial aspects relating to the Pre-school in partnership with the pre-school Treasurer including maintaining accounting records for receipts, payments and bank reconciliations in line with financial policies, and reviewing contract renewals when due.

15. Support the Treasurer with production of monthly reports for committee including cash flow forecasts, and with production of year end accounts for submission to HMRC and Charity Commission.

16. To prepare monthly payroll and overtime calculations for submission to the Payroll Service provider, and action payments due.

17. To support the Manager and SENDCO with submitting funding claims to Oxfordshire County Council for Early Education Funding for 2,3 and 4 year olds, EYPP, Inclusion funding, Additional funding and DAF and to ensure funding is claimed in line with our agreement with them.

18. To raise fees invoices to parents, and collect outstanding fees due

19. To facilitate reimbursement of staff and committee members expenses from petty cash.

20. To ensure that the setting complies with the General Data Protection Regulation and that staff receive appropriate training and guidance.

21. To undertake any other reasonable duties as directed by the Management Committee in accordance with the setting’s business plan/objectives.
