**Job summary**:
You will provide secretariat support to the RMT. In addition to this role you will undertake finance related duties by all ensuring colleagues submit their government procurement card (GPC) and expenses to an auditable standard as well as invoices being raised/processed in a timely manner.

**Job description**:
**Secretariat**
- Providing secretariat support including undertaking minutes of meetings, general admin, arranging staffing events and maintaining outlook calendars;
- Produce and circulate minutes from regular RMT meetings;
- Support the region with the sourcing and ordering of services e.g. training venues, staff travel/accommodation bookings, stationery etc.;
**Finance**
- Ensure all staff GPC and expenses are submitted in on time and to an auditable standard;
- Ensure all invoices orders are raised/paid/reconciled in a timely manner;
- Ensure the filing system accurately reflects the most up to date information;
- Support colleagues in the team to ensure all administration associated with finance are followed whilst adhering to the relevant policies and procedures;
**General Tasks and Admin**
- Undertake various admin tasks, including answering the phone, supporting colleagues and greeting visitors at our Smithton Office;
- Provide and coordinate support to others in the Administrative Team and across the region;
- As part of the Administrative Team ensure any lone working issues are dealt with promptly.

**Person specification**:
Experience***

Essential:

- Demonstrable secretariat experience including the handling of confidential information and attention to detail;
- Excellent organisational skills and working to deadlines especially where information can regularly change;
- Strong communication and interpersonal skills to encourage others to achieve deadlines;
- Competent IT user with working knowledge and experience of Microsoft packages including Excel, Outlook or Word;
- Ability to self-manage, work on own initiative but more importantly as part of a team;
- Willingness to learn and follow policy/procedures required in this administrative role;

Desirable:

- Experience of dealing with sensitive information in line with General Data Protection Regulations (GDPR).
