We are seeking an outstanding Personal Assistant to provide support to the Group Managing Director and Director Team during a 14-month fixed term contract to cover maternity leave. This is a crucial role that requires a PA who can seamlessly integrate into our business culture and align with our values of Teamwork, Integrity, Excellence, and Courage. As a Personal Assistant, you will be responsible for managing a diverse range of tasks for the Directors, and it is essential that you are a highly organised and confident individual with the ability to take initiative as required.

Personal Assistant Key Responsibilities:

- Manage and organise the Group MD and Directors' diaries, proactively allocating their time, rearranging meetings, managing clashes, and ensuring they are fully briefed with all necessary documents.
- Assist with management meetings, including preparation, agendas, logistics, and note-taking.
- Attend and take accurate meeting minutes at monthly Board Meetings.
- Book and arrange all travel for the Group MD, including international itineraries.
- Perform general filing duties, ensuring that all paperwork is correctly organised and updated.
- Cover the telephone and assist the management team as required.
- Screen incoming enquiries and manage the inbox, highlighting matters requiring urgent attention.
- Prepare external correspondence as necessary.
- Work with the Office & Facilities Team to plan and book national and international travel and accommodation, collating all necessary information.
- Provide diary and expenses administration support, with specific responsibilities relating to the Group MD and Director’s travel admin.
- Assist with company documentation and legal matters as required.
- Prepare presentations when necessary.
- Manage document control and electronic filing.
- Handle confidential information discreetly and provide administrative support with sensitive documentation, including NDAs and other commercial documents.
- Respond to incoming calls and other correspondence as necessary.
- Assist the Office & Facilities Team with internal and external meeting preparation and refreshments.
- Support the preparation of PowerPoint presentations, including embedding high-res videos links.
- Act as the first point of contact for any issues concerning the Directors.
- Interface with customers and suppliers at a senior level.
- Provide administration support to the Sales and Marketing team and HR department as necessary.
- Demonstrate the Values at all times.

The Successful Personal Assistant will possess:

- Experience working as a Personal Assistant, ideally at MD/Director level.
- Exceptional organisation skills, with the ability to manage multiple priorities to tight deadlines with flexibility and enthusiasm.
- Confident communication skills, with the ability to operate under pressure, multitask and deliver to exacting timescales.
- High level of accuracy, attention to detail and communication skills.
- Ability to accurately record meeting minutes and actions in a technical engineering environment.
- Ability to work independently and as part of a team with excellent people skills.
- A team player who can liaise and network collaboratively with all key stakeholders internally and externally.
- Able to maintain the highest levels of confidentiality when handling sensitive information.
- Excellent written and verbal communication skills in English.
- Advanced IT skills, including proficiency in Microsoft packages such as Excel, Word, and PowerPoint.

**Job Type**: Fixed term contract
Contract length: 14 months

**Salary**: £30,000.00-£37,000.00 per year

- Monday to Friday
