**Working Hours (20 hours)**: Tuesday, Thursday, and Friday 12:00 - 17:00, and 08:00 - 13:00 on a Saturday

**About us**
Arctic Direct are a multi award winning tour operator offering bucket list travel to Sweden, Finland, Norway, Iceland, Greenland, North Pole, and Russia. We offer tailored tours primarily focusing on the Northern Lights.
**The Role**
The admin and business support role has been created to ensure that our customers have the best journey with Arctic Direct, from start to finish.
**Key skills**:
Accuracy, attention to detail, problem solving, computer skills, good standard of written English, grammar, and spelling, friendly, helpful, able to work as part of a team.
**Key responsibilities**:
Financial:
- Monitoring customer payment due dates
- Processing payments and chasing any late payments
- Checking payments have been updated
- Sending sales and supplier invoices to xero
Bookings:
- Booking transfers and tours for all standard FIT bookings and updating accordingly
- Checking that any dietary and medical information in TopicPlus is passed to suppliers
- Liaising with suppliers to address any timing issues/errors
- Checking if flights have been rescheduled/cancelled and advising customers of any significant amendments
- Processing customer cancellations and issuing paperwork
- Checking customer details, flights, accommodation, transfers and tours and creating individual Travel Packs and sending to customer
Customer service:
- Offering a great customer experience by responding in a friendly, timely, helpful manner to all enquiries and issues
Ad hoc - operations/data loading:
- Keying in and checking new product data for excursions, transfers, and accommodation types
- Adding new suppliers into TopicPlus
- Adding images to system
- Keying in new season prices for all suppliers and ensuring itinerary pricing works
- System testing to make sure everything works correctly before new products/services are launched
Database management:
- Ensuring TopicPlus customer database reflects mailing lists and customer opt-ins/outs
- Managing changes across TopicPlus
Sales support:
**Job Type**: Part-time
Part-time hours: 30 per week
**Salary**: £11.00 per hour

- GCSE or equivalent (preferred)
**Experience**:
- Customer service: 3 years (preferred)

Licence/Certification:
- Driving Licence (preferred)
