Admin Support/medical Secretary

A vacancy has become available for an Admin Support/Medical Secretary within the Neurology Team at CHFT. This post will work with the Neurology Team and Medical Secretaries to ensure an efficient admin service.
The post-holder will provide secretarial/administrative support to the department, specialist nurses, consultants, neurology co-ordinator, designated medical staff and their teams in neurology.
The post holder will be responsible for maintaining records both manually and on a computer system and demonstrate the ability to handle sensitive and confidential patient information, ie. clinical letters, investigations and results.
The post holder acts as a point of contact for all forms of communication for the specialist nurses, consultants and Medical Team from GPs, patients and relatives, consultants and other hospitals
Typing letters from clinics and other correspondence as needed. Being the main point of contact for patients and liaising with other teams both within the Trust and external. The post holder will cover sick leave/annual leave for medical secretaries and work with hospital systems such as EPR/ERS.

- Typing a large volume of letters from outpatient clinics, discharge summaries, medical reports and general correspondence.
- Dealing with telephone calls, internal and external, from wards, patients and general practitioners.
- Cancelling/reducing clinics for annual leave, study leave etc and informing all relevant personnel.
- Supporting the e-referral initiative and electronic patient record (EPR) system.
- Arranging appointments for meetings, domiciliary visits and to facilitate meetings to include attending and minuting, producing agendas and following up outcomes within a set time frame.
- Maintenance of office filing system, photocopying/scanning as required.
- Provide non-clinical information to patients, patient’s relatives, GPs, other hospitals and signposting to the neurology co-ordinator where appropriate whilst exercising judgement to ensure that all the relevant personnel are given necessary information as quickly as possible, thereby ensuring that any action, which needs to be taken, is taken promptly.
- To be able to work on own initiative and make decisions within written guidelines, sometimes without reference to others.
- Work within all Trust policies and procedures.
- To follow Health and Safety Policy relevant to the working environment and attend mandatory updates in accordance with the Trust policy.
- Undertake personal training and development where appropriate.
- Offer advice and support and demonstrate duties to new members of staff.
