**Job Title: Sales & Admin Co-Ordinator** The Sales & Admin Co-Ordinator under the collective supervision of the UK General Manager and the Office Manager will coordinate and maintain an efficient office and sales operation and perform responsible administrative duties of a confidential nature in support of all sales and administration activities related to the business. He/she ensures workplace health & safety requirements are met at all times and take responsibility for the general maintenance of a healthy office environment. **Nature and scope of position**: The Sales & Admin Co-Ordinator reports to the UK General Manager, but the general daily activities will be supervised by the Office Manager. Oversees sales & office administrative support work within a program or group of programmed areas to assist the general efficient operation of the internal and external sales function of the business, which will be supervised by the Office Manager. Implement new office methods and procedures to ensure accuracy and efficiency; ensure accurate maintenance of office and sales records, manuals and documents keeping abreast of company policies and procedures; to coordinate all disciplines related to sales and minor administrative functions required by the business. Resolve sales problems independently and facilitate solutions; confer with supervisor to resolve more complex situations. The position requires strong organisational skills, motivation and a proactive and self-disciplined approach. The ability to effectively interact with other departments and personnel is crucial, to lead and command the respect of other workers is vital in creating an on-going positive and productive team environment. - **PREVIOUS EXPERIENCE OF USING THE BUSINESS OPERATING SYSTEM "NETSUITE" WOULD BE AN ADDED ADVANTAGE.** Buteline UK offers all Company Operational Staff inclusion into a Sales Based Bonus Scheme, this incentive scheme rewards achievement against the company’s sales objectives and is paid quarterly when applicable. **Primary Functions and Tasks**: - Telephone and reception answering. - Providing sales and customer service support to all existing and prospective new clients, duties include: - Answering sales and product queries - Providing technical advice on product where possible - Sending out literature and samples to enquirers. - Regular monthly customer service calls to all current stockists - Maintaining the ‘free of charge’ tool log. - All aspects of sales order processing, duties include: - Liaising with logistic partners to assure effective service to our customer's - Providing quotes where necessary - Resolving any issues with sales orders before processing orders and/or invoicing - Invoicing on sales once delivery is made, daily - Raising credits notes where necessary * - Make proactive calls to agreed targeted customers in line with the company’s sales strategy. - Work closely with all our external Area Sales Managers to maximise sales returns from their customers and areas, providing any backup support required. - Payment of cheques into bank. - Dealing with all incoming and outgoing post. - Co-ordinating underfloor heating projects, facilitating staff members and customers from quotation through to final supply and invoicing. - Entering data onto NetSuite CRM system from leads generated at exhibitions & advertising and circulate to the correct area managers. - Logging and filing installer training certificates. - Monitoring and ordering office stationary. - Facilitating lunch/refreshments at quarterly sales meeting. - General liaison with our New Zealand Head Office personnel - Facilitate a positive and productive work environment at all times.
