**About You**
You will have an administrative background and will have worked in an environment where you were required to follow complex administrative, regulatory or legal processes. The role includes working with a variety of teams to provide high-quality advice and guidance in relation to quality assurance procedures. A key aspect of your role will be the maintenance of a professional, co-collaborative and effective working relationship with administrative colleagues at our partner Universities.
Whilst based within the Quality and Enhancement team the main focus of this role is to provide support in the following areas:
- Recruitment of External Examiners
- Maintaining course and policy documentation
- Student and Tutor Feedback
- Servicing of Boards and Committees
- Support the Board of Examiners processes
- Assist with the administration of the Academic Offences procedures at departmental level
- Assist with the administration of the Late Submission and Extenuating Performance procedures
**Responsibilities**
Ensuring all External Examiners are provided with information and support for their role including, an External Examiner Handbook, induction session on the Learning Platform, relevant policies and meeting dates of Boards of Examiners.
- Co-ordinate the external examiner annual reporting process.
- Management of standard documentation including ensuring that all Definitive Programme Specifications and Module outlines are updated and published within 2 weeks of any updates, ensuring policies and procedures are updated on all appropriate platforms, liaising with other teams, such as Marketing, as appropriate.
- Co-ordination of the End of Module Survey review process, collating and circulation of survey results, monitoring of data, actions and outcomes.
- Assist with the servicing of formal Boards and Committees as required, including preparation of draft agendas, circulation of papers and formal minute taking.
- Supporting the Board of Examiners process, including preparation of documentation and post-Board activities such as updating the Student Management System, preparation of Exam Board letters, Pass Lists, Student Transcripts and Certificates.
- Assist the Quality Manager with quality assurance processes such as course variations, special syllabus requests, review of policies and standard operating procedures.
- Assist with the administration of the Academic Offences procedures in relation to student referrals from tutors; notification to students; review and assignment of penalties to students; maintenance of the Academic Offences Tracker for all programmes and organisation of study skills support where appropriate. - Assist the Academic team and colleagues in the Quality and Enhancement team to ensure that students have complied with the conditions of academic offence penalties or outcomes of Academic Appeals.
- Support the Quality Manager in the co-ordination and servicing of the quarterly Extenuating Circumstances Panel, including preparation of papers, accurate recording of outcomes and notification to students.
- Assist with the administration of the Late Submission procedures
- Provide advice and guidance to KOL staff around quality assurance policies, standard operating procedures and academic rules of assessment.
To help when necessary other members of the Quality and Programme Support Teams to cover their duties in the event of absence if required.
**OTHER**
- Ensure that all data is handled in a sensitive and confidential manner, adhering to any data protection policies where relevant.
- Establish and maintain positive interpersonal relationships with other staff and provide assistance as necessary to other colleagues within Kaplan Open Learning.
- Ensure all KOL policies are implemented within the remit of the post
- It is expected that the post holder will demonstrate commitment to his/her own personal development within the post.
**Qualification and Skills**:
Essential
- A first degree.
- Strong IT skills, particularly in excel.
- Ability to work flexibly to meet the team and organisational requirements especially during peak periods of activity such as the quarterly Board of Examiners.
- Experience of working in an administrative environment and meeting individual and team deadlines.
Desirable
- Experience of dealing with Boards of Examiners, academic offence processes and/or academic appeals.
