J**ob Purpose**

To work as a member of the Undergraduate Medical School team responsible for providing effective and proactive administrative support for clinical placements in Phase 4 of the MBChB programme. This post has an emphasis on the student experience and is outward-facing, requiring liaison between the School and NHS. Teaching takes place at clinical sites across the West of Scotland, and the post holder’s primary base will be the Wolfson Medical School Building.

**Main Duties and Responsibilities**

1. To be an initial point of contact for medical students in Years 3-5 of the MBChB programme.

2. To provide efficient and effective co-ordination of clinical teaching at hospital sites, as well as on campus and online.

3. To develop and maintain close working relationships with University and NHS administrative and clinical academic staff to ensure quality and consistency of the student experience.

4. To support the organisation and delivery of the annual Preparation for Practice teaching block.

5. To support and clerk student meetings with Year Leads.

6. To maintain accurate record keeping relating to student attendance.

7. To assist in the co-ordination of annual course timetables, resolving timetabling issues, and booking rooms through the University’s timetabling system, CMIS.

8. To assist with the collation and checking of ePortfolio assessment forms.

9. To assist with the process of ensuring that all students have access to NHS IT systems.

10. To assist with the process of ensuring that all students are Registered and Enrolled each academic session.

11. To assist in the maintenance of MBChB Moodle sites.

12. To provide on-the-day administrative assistance at Undergraduate Medical School OSCE clinical assessments. 13. To provide other administrative duties as reasonably requested by the Undergraduate Medical School Manager and Deputy Manager.

**Knowledge, Qualifications, Skills and Experience**

Knowledge/Qualifications

**Essential**:
A1 _Either_: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role _Or_: Scottish Credit and Qualification Framework level 5 or 6 [National 5 or 6, Scottish Vocational Qualification level 2 or 3] or equivalent, and experience of personal development in a similar role.

**Desirable**:
B1 Knowledge of University core business systems including MyCampus, CMIS and Moodle

B2 Knowledge of the structure of Glasgow’s MBChB programme

**Skills**

**Essential**:
C1 Excellent IT skills including Microsoft Office

C2 Able to work proactively, multi-task and to use initiative

C3 Ability to plan and prioritise tasks over daily, weekly and longer-term timescales

C4 Excellent interpersonal and communication skills

C5 Ability to work accurately with attention to detail

C6 Ability to work independently and as a member of the team

**Desirable**

D1 Proven ability to take accurate meeting notes

D2 Proven ability of working with bespoke IT systems

**Experience**

Essential:
E1 Experience of working in a comparable administrative role

E2 Experience of handling confidential personal information with tact and diplomacy

E3 Experience of using bespoke IT systems

**Desirable**

F1 Experience of working within the Higher Education sector supporting learning and teaching activities

**Standard Terms and Conditions**

Salary will be on the Management, Professional and Administrative Grade, level 4, £20,092 - £22,847 per annum.

New entrants to the University will be required to serve a probationary period of 6 months.
