The role of Centre Administrator is pivotal to the success of the Centre Management operation, the individual will need to have a financial and administration bias in a retail environment. The role of the Centre Administrator is pivotal to the success of the Centre Management operation the individual will need to ensure that there is close liaison between all on-site parties. The Centre Administrator will provide essential compliance, clerical and administrative support as part of the management team, take ownership of specific projects, as well as co-ordinate and implement office procedures.
They will need to ensure close cooperation and coordination exists between the client and all other internal and external stakeholders.

General Duties

Under instructions from the Centre Manager to ensure that all periodic reporting to the client, letting and managing agents is undertaken on a regular basis in an agreed professional manner.
Be an effective supporter and facilitator of Victoria Place Customer Services policies and process and contact submissions
Update ‘JLL’ property management systems (where applicable).
The co-ordination of periodic internal meetings to ensure communication between all on-site teams.
To arrange regular retailer and stakeholder forums and co-ordinate the input of other members of the team.
Ensure all external & internal compliance and management reports are maintained with information regularly and distributed accordingly.
To ensure visitors records, H&S compliance records/processes is administered correctly.
Be responsible for ordering and managing office administration supplies, equipment and within budget.
Ensure incoming and outgoing post is dealt with in the correct manner.
There is a requirement for flexibility in the hours worked.
Reviewing administrative processes and procedures and implementing any efficiency.

Establishing and developing good relationships with internal and external partnerships with various authorities and local agencies Health & Safety and Quality
Adhere to all JLL and Managed Services Health & Safety and Quality Management compliance procedures and policies

The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

Financial / Accounts

Take ownership and responsibility for purchase order and invoice processing and monitor invoice management and procedures
Be responsible for public toilet; recording and maintaining financial records and also centre reports.
Ensure mall income or other commercial aspects of the scheme are monitored and recorded. Marketing / Promotion
To assist the Centre Manager, Savills and Client marketing team, Social Media service provider in any aspect of Marketing and PR in the Centre.
Coordinating the on-site management of retail partners mall promotions and assist with tenant’s forums etc. Collect from retail partners updated retail trading, turnover and click & collect intelligence on a regular basis.
Monitor and update (where applicable) Web site, Twitter and Facebook marketing communication interfaces with social media service provider.
Assist in managing and coordinating Communication platform
Undertake regular liaison with the Client and Retail Partners
