Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. This role is essential in ensuring the smooth operation of daily administrative functions within our organisation. The successful candidate will possess strong computer skills, excellent communication abilities, and a proactive approach to managing office tasks. Duties
- Manage incoming calls with professional phone etiquette, directing enquiries appropriately
- Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of information
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks software
- Assist with scheduling appointments, meetings, and maintaining calendars for team members
- Prepare correspondence, reports, and presentations as required
- Support accounts payable and receivable processes through data management and invoicing
- Coordinate office supplies procurement to ensure the smooth functioning of the workplace
- Handle administrative paperwork and support other departments as needed to facilitate organisational efficiency
Experience
- Previous office experience is preferred, demonstrating familiarity with administrative procedures
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and QuickBooks
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent typing speed and accuracy for data entry purposes
- Good communication skills, both written and verbal, with a professional phone manner
- Experience in clerical roles involving data entry and document management is advantageous
- Knowledge of basic bookkeeping or financial software is a plus but not essential
