THE POSITION 1 Control Ltd. are an established Trend/Tridium BEMS solutions supplier with organic plans for continuous growth. As we expand, we remain focused on providing a complete in-house offering from design and installation through to service, maintenance, smart buildings and analytics. To support this evolution, we are seeking a Business Operations Coordinator who will become a central operational support role across the business. You will help us maintain efficiency, consistency and excellent communication for both internal teams and our valued clients, while also helping us improve and refine business systems as we grow. This is a varied role suited to someone confident with structured administration, comfortable working remotely, able to coordinate across multiple departments, and keen to be part of a modern forward-thinking BMS business. The role is predominantly home-based with ad-hoc attendance in London and occasional site visits, all fully expensed

KEY RESPONSIBILITIES

  • Service & Maintenance Administration

o Report checking, formatting and issuing to clients

o Scheduling of service visits, remote inspections, follow-ups

o Coordination between engineering team, customers and subcontractors

o Logging and tracking return visits or remedial actions

  • Operational & Contract Support

o Creation of small works quotations based on service findings

o Setup and renewal of service contracts and frameworks

o Supplier and customer onboarding documentation

o Ensuring compliance and documentation accuracy

o New project setup and confirmation

o Purchase Order processing

o Processing supplier documentation and checking completeness

o General administration support to the Accounts/Finance team

o Timesheet Coordination

o Various project finance support tasks

  • Coordination & Documentation

o Collation of risk assessments using existing templates

o Tracking engineer training records, competencies and renewals

o Maintaining central registers and client folders

  • Marketing & Communication Support

o Social media posting assistance and brand alignment

o Event booking, supplier day coordination and industry meet-ups

o Calendar management for internal and client commitments

  • System & Process Improvement

o Help refine operational procedures as the business scales

o Maintain structure across reporting, compliance and workflows

REQUIREMENTS

  • Experience within M&E, BMS, FM or service-led environments preferred

  • Highly organised with excellent attention to detail

  • Clear communicator and confident dealing with colleagues and clients directly

  • Strong time management and ability to multitask across workstreams

  • Comfortable building, following and improving internal systems

  • Confident with Outlook, Excel, portals, CRM tools and shared drives

  • Positive, solutions-driven and pragmatic

  • Capable of supporting and integrating to a strong team ethos

THE PACKAGE

Contract: Flexible/Part Time 3-4 days per week

Location: London & Southeast

Charity Day: 1 paid day per annum to volunteer for a charity of your choice

Travel: All expenses will be covered i.e. mileage/ train/ parking etc.

Ownership: One Control Systems is an employee-owned business. The successful applicant will therefore be offered part ownership in an effort to build a harmonious business following 12 months service. (Scheme detailed separately)

Job Type: Part-time

Pay: From £15.00 per hour

Expected hours: 16 – 28 per week
