The Role

We are seeking an organised, reliable, and proactive Operations Administrative Assistant to work closely with our Operations Manager and Deputy Operations Manager. This is a hands-on role providing direct administrative and organisational support to two busy managers overseeing multiple installation teams and projects each week. You'll play a key part in keeping the department running smoothly — managing diaries, preparing documentation, assisting with communications, and ensuring the team stays on top of priorities. This role would suit someone who enjoys variety, thrives on structure and organisation, and takes pride in being a dependable point of support within a fast-paced office.

Responsibilities:

  • PA Support: Provide direct PA-style support to the Operations Manager and Deputy Operations Manager.
  • Diary & Scheduling: Assist with diary management, scheduling meetings, and coordinating daily priorities.
  • Documentation Preparation: Prepare and issue job-related documentation (e.g., installation packs, assumption/exclusion sheets, handover forms).
  • Customer Communication: Support with customer communication — answering telephone calls, confirming installation details, managing expectations, and following up where required.
  • Project Tracking: Track project progress and update records in CRM Software (Job Logic & Monday).
  • Reporting: Collate information for weekly operations meetings and internal reporting.
  • Staff & Logistics Coordination: Help coordinate staff training, vehicle servicing schedules, and stock collection planning where needed.
  • Digital Filing: Manage and organise digital filing, ensuring job folders and records are complete.
  • Administrative Support: Handle general administrative tasks to support the wider operations team.

What we're looking for:

  • Relevant Experience: Previous experience supporting managers, coordinating teams, or working in an administrative/PA role is highly desirable.
  • Organisational Skills: Excellent organisational and time-management skills.
  • Communication: Confident communicator with a polite and professional manner.
  • Attention to Detail: Strong attention to detail and accuracy.
  • Work Under Pressure: Comfortable working under pressure and prioritising multiple tasks.
  • Technical Proficiency: Proficient with Microsoft Office and general computer systems (training provided for Joblogic and ).
  • Proactive Attitude: A proactive attitude and willingness to take ownership of tasks.
