Aberdeen, Aberdeen City, United Kingdom Sword Group Full time £40,000 - £70,000 per year

Sword is a leading provider of business technology solutions within the Energy, Public and Finance Sectors, driving transformational change within our clients.  We use proven technology, specialist teams and domain expertise to build solid technical foundations across platforms, data, and business applications.  We have a passion for using technology to solve business problems, working in partnership with our clients to help in achieving their goals.

About The Role
As the Senior Document Controller, you will be at the centre of how information flows through critical engineering projects and modifications. Your work will ensure every document is accurate, traceable, and available when it matters most — supporting decision-making, project delivery, and regulatory compliance. Acting as the focal point for Modifications, you will not only manage technical documentation but also safeguard the integrity of business-critical information, preserving corporate memory and enabling future success. This is a role where precision, structure, and communication directly shape project outcomes and client confidence.

As The Senior Document Controller, You Will

  • Ensure Modifications are set up correctly within the EDMS.
  • Manage MDRs and distribution, working closely with Engineering Teams.
  • Act as the focal point for all Modifications document control.
  • Initiate workflows to support timely review of documentation.
  • Upload and download data between multiple systems (Documentum, Asai, SharePoint, etc.).
  • Support projects and site changes, handing over documentation from Projects to Site.
  • Liaise with vendors/suppliers to resolve documentation issues and uphold company procedures.
  • Monitor shared mailboxes and manage document queries.
  • Ensure as-building of Category 1 documents is completed correctly and on time.
  • Deliver document status reports and close-out of modifications.
  • Support and train end users on IM tools and processes.
  • Continuously improve processes to drive efficiency in documentation management.

Requirements

  • Knowledge of Document Control practices, ideally within the energy sector (experience from other regulated industries also valued).
  • Experience working in a busy Projects/Modifications environment, with the ability to manage multiple MDRs/packages of work.
  • Confidence in working across different systems and databases, with excellent attention to detail.
  • Willingness to learn and promote agreed service processes, acting as an advocate for best practice.
  • Familiarity with Omega PIMS is a plus, though not essential — training and support will be provided.
  • Offshore certification is an advantage, but not a requirement — flexibility and willingness to undertake offshore site audits when required is what matters most.
