FLEXICO - CENTRE MANAGER

RESPONSIBILTIES

Operations

Provide consistent reception cover and ensure all clients and visitors receive a warm, professional welcome.

Support and manage the day-to-day running of the centre, including reception and diary management duties, while maintaining high operational standards to ensure smooth and reliable service delivery.

Proactively conduct daily spot checks and floor walks to uphold centre standards and ensure full compliance.

Replenish communal kitchen areas and maintain stock levels across the centre.

Respond to phone and email enquiries promptly, professionally, and efficiently.

Oversee the management of keys and fobs, including setup, replacements, and associated charges.

Complete monthly excellence audits and action any follow-up tasks or queries in a timely manner.

Adhere to all policies, procedures, and processes, ensuring all checklists and documentation are fully completed and kept up to date.

Clients

Ensure client records are accurate and current.

Act as first point of contact for any client queries or issues.

Strive to provide consistent excellent service to all clients and record feedback.

Ensure all meeting room bookings are of the highest standard.

Complete the onboarding of all new clients.

Manage move ins and departures as required.

Your Building

Oversee all centre maintenance and compliance including health and safety, fire regulations, checks and audits.

Complete daily, weekly, and monthly audits as required.

Prepare the third-party contractor work lists.

Liaise and meet with contractors and suppliers onsite as required.

Record, respond to and escalate building requests.

Ensure an understanding of building specifics, including layout and compliance information.

Submit and oversee relevant facilities requests.

Manage refurbishments and project work as required.

Keep all systems up to date with relevant information where business processes require.

Ensure that the necessary office clients have a registered onsite fire marshal and have returned the fire risk assessment.

Manage IT connection for visitors and clients including set up and troubleshooting.

Sales and Finance

Ensure your centre is 'show ready', and that at least four vacant offices are ready to present where possible.

Conduct sales tours.

Provide prompt feedback to the sales team directly and via the CRM after all sales tours.

Ensure client move in and move out processes are followed.

Relay commercial client feedback to the sales team, including in relation to renewals, expansions, downsizing, terminations and queries.

Ensure optimum retention and renewals by delivering operational and client excellence.

Conduct competitor research where appropriate.

Ensure billing is carried out on time including monthly invoice checks, paying particular attention to ad hoc services being charged for.

Ensure systems are adequately and efficiently kept up to date.
