Gap Plastics Knowsley has an opportunity for an experience Office Manager to support and lead its Administration Team, working Monday-Friday, 40 Hours/week.
The Office Manager plays a central role in coordinating administrative, customer service, and operational activities within our manufacturing facility. This role oversees office operations, manages the order book, supports key accounts, and leads a small team responsible for customer queries, order planning, and order release. The Office Manager ensures efficient communication between departments, maintains compliance with company standards, and supports a high-performing, customer-focused environment.
Main responsibilities:
- Oversee daily office operations including scheduling, correspondence, supply management, filing, and document control.
- Maintain organized and compliant records for production, quality, and regulatory documentation.
- Ensure efficient coordination across departments through clear communication and timely information sharing.
- Manage office equipment, service agreements, and relationships with external vendors.
- Manage, support, and develop a small team responsible for customer queries, planning, scheduling, and order release.
- Provide daily supervision, workload prioritization, and performance feedback to ensure high-quality output and team efficiency.
- Coach team members in customer service best practices, order accuracy, communication protocols, and ERP usage.
- Foster a positive, collaborative work environment focused on service excellence and continuous improvement.
- Assist with purchase orders, invoice processing, expense tracking, and vendor payments.
- Support budget monitoring and cost-control activities.
- Manage inventory of office and facility consumables.
- Maintain and oversee the company's order book, ensuring accurate entry, regular updates, and clear visibility for production and sales teams.
- Monitor order status, lead times, delivery dates, and customer requirements to ensure timely and accurate order fulfilment.
- Serve as an escalation point for customer issues, ensuring rapid resolution and high service levels.
- Support key account management by coordinating communication, providing order updates, handling requests, and ensuring exceptional customer experience for strategic clients.
You:
- 3+ years of office management or administrative leadership experience; manufacturing environment preferred.
- Experience with customer service coordination and/or order book management.
- Strong leadership skills with experience managing small teams.
- Proficiency with office software and ERP/MRP systems.
- Excellent communication, organisational, and multitasking abilities
