Job Purpose:

The Operations Coordinator plays a key role in providing comprehensive administrative support to the General Manager and the wider management team. The Operations Coordinator is integral in maintaining efficient systems and workflows, contributing to the overall effectiveness and success of the store operations.

Key Responsibilities:

Recruitment Support

  • Screen CVs, coordinate and schedule interviews with candidates, ensuring all logistics are arranged.
  • Support line managers in interview preparation, including arranging materials, rooms, and IT requirements.

Airport ID Process

  • Administer the airport passing process for both full ID passes and temp/visitors to store.
  • Ensure timely submission of applications and documentation required for airport security clearance.
  • Maintain records of approvals and manage follow-ups with airport authorities, whilst handling sensitive information in line with GDPR.

Cash Compliance

  • Assist in monitoring and ensuring compliance with cash management processes.
  • Escalate actions from B-Right system.
  • Train the team on cash management processes.
  • Support the preparation and documentation of financial reports for cash handling and audits.

  • Escalate discrepancies to management, providing supporting documentation.

HR Support

  • Update and maintain accurate HR files within Bright HR system, ensuring that they are accurate and compliant with GDPR.
  • Ensure confidentiality and data protection in line with HR and legal standards.
  • Attend meetings as required and take accurate minutes/notes.
  • Ensure FEC reporting is submitted accurately and within the specified timescales.

Induction and eLearning Support

  • Assist with the coordination of employee inductions and ensure all required information is provided.
  • Assist in managing the onboarding and offboarding processes, ensuring all documentation is in place.
  • Monitor and track eLearning completion for employees, sending reminders and providing support where necessary.
  • Ensure all new staff are properly inducted into the company's policies and procedures.

General Operational Support

  • Support other departments and the shop floor as required during peak periods or operational demands, including tasks such as booking invoices, managing webcycles, assisting with stock inventories, and providing general support during busy trading times

Key Skills:

  • Strong organisational skills and the ability to manage multiple tasks simultaneously.
  • Excellent attention to detail and accuracy.
  • Good communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)

  • Strong team player who can collaborate effectively with various departments.

Accessing the airport:

A five-year working and personal reference, along with a Criminal Reference Check, will be required for this role as the store is airside in the departures lounge. This will be discussed in more detail at interview stage or please contact us if you have any questions regarding this.
