Job Description

The Office Manager is responsible for overseeing daily administrative operations and ensuring the smooth functioning of office activities within a small manufacturing environment. This role requires a highly organized, detail-oriented individual who can manage multiple responsibilities, support management, and maintain efficient processes across departments.

Responsibilities

  • Coordinate and manage office operations, including scheduling, filing, and correspondence.
  • Maintain accurate records for company documents, invoices, and compliance requirements.
  • Assist with basic bookkeeping tasks such as accounts payable/receivable and expense tracking.
  • Prepare purchase orders and monitor inventory for office and production supplies.
  • Handle employee onboarding paperwork and maintain personnel files.
  • Track attendance, vacation, and assist with payroll processing.
  • Serve as the primary point of contact for internal and external communications.
  • Coordinate meetings, prepare agendas, and distribute reports.
  • Ensure adherence to company policies and regulatory requirements.
  • Support safety initiatives and maintain documentation for audits.
  • Provide administrative assistance to management and production teams.
  • Manage vendor relationships and negotiate service agreements.
Essential Skills
  • 3+ years experience as an Office Manager for a small company.
  • Proven experience in office management or administrative roles, preferably in a manufacturing setting.
  • Excellent organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite and basic QuickBooks knowledge.
  • Excellent communication and problem-solving abilities.
Additional Skills & Qualifications
  • Knowledge of HR practices and compliance regulations is a plus.
Work Environment

This is a full-time, primarily office-based position with occasional interaction on the production floor. The role operates Monday through Friday, with flexible shift hours (7:00am - 3:30pm or 8:00am - 4:30pm). There may be times when early arrival or late departure is necessary to meet with different shift employees, with hours adjusted accordingly. The dress code is casual but professional, and PPE will be provided if needed when on the production floor. The environment is fast-paced, requiring the ability to handle multiple priorities.
