Dental Administrator/Referral Coordinator

We are a prestigious, award-winning private specialist dental practice in Chiswell Green St Albans, seeking a Dental/Medical Administrator with strong customer service experience (essential).
Dental or medical administrative experience is highly desirable.
We are looking for a mature, capable and motivated individual who prides themselves on responsibility, performance and excellent communication. You must be confident working both independently and collaboratively within a team, striving toward shared objectives. As this role involves sole responsibility for referral management and processing, along with achieving performance KPIs, sales experience is advantageous.
Location Note:
Our practice is not within walking distance of St Albans City or St Albans Abbey stations. Reaching Chiswell Green requires a separate bus journey of approximately 15 minutes from the town centre. Free parking is available nearby for those who drive.
Hours:
5 days per week, 08:30–18:00, with one allocated day per week where later working may be required.
1–2 Saturdays per month, depending on practice needs.
Role Overview:
You will be the main contact point for patients and referrers, delivering exceptional service while ensuring the smooth and efficient running of the practice. This is a fast-paced, detail-focused role requiring strong organisation and accountability.
Key Responsibilities:
- Provide a professional, warm and efficient service to all patients and visitors
- Handle enquiries by phone, email and in person
- Maintain accurate, confidential patient records
- Independently manage and process all clinical referrals
- Work towards referral-based KPIs and performance targets
- Send appointment confirmations, reminders and courtesy calls
- Support effective diary management
- Maintain a high standard of practice presentation
- Manage payments, and assist with finance applications
- Communicate effectively within the team to support shared goals
- Ensure compliance with practice policies and CQC standards
- Share patient feedback with the Practice Manager
- Participate in ongoing training and development
- Carry out any additional duties requested by management and administration team
Requirements:
- Minimum 4 years of customer service experience (essential)
- Dental or medical administration experience desirable
- Sales or KPI-driven experience advantageous
- Mature, responsible and performance-focused
- Strong communicator and team player
- Excellent organisation and computer skills
- References required, including most recent employer
- DBS check required
