What we are looking for?
We're looking for a highly organised, proactive, and adaptable
Executive Assistant & Office Manager
to support our Executive team and ensure smooth day-to-day operations across our growing organisation.

This role combines executive-level administrative support with hands-on office and operations management. You'll work closely with the CEO, Chair of our Board and our Exec team, acting as a critical link helping to coordinate crucial governance meetings, manage key communications, and foster an efficient, positive, and well-organised work environment in our London office.

You will help facilitate the smooth operation of senior executives' schedules and the overall office environment. They take charge of organising meetings, managing correspondence, and ensuring the efficient running of daily office functions.

This role demands a high level of organisational skill, the ability to multi-task, and a knack for prioritising tasks effectively. The Executive Assistant Office Manager is often seen as the backbone of the office, ensuring that everything runs seamlessly and efficiently, handling sensitive information with discretion.

Their position requires them to be adaptable, proactive, and always one step ahead, anticipating the needs of the executives and the office as a whole. Their contribution is vital to maintaining a productive work environment and supporting the company's growth.

What You'll Be Doing
Executive Support

  • Provide high-level administrative and organisational support to the CEO, Chair of the Board and Exec team.
  • Proactively manage complex calendars, scheduling internal and external meetings, preparing materials for the meetings ensuring optimal time allocation for strategic focus and well-prepared for meetings and events
  • Organise domestic and international travel, including itineraries, visas, and accommodation
  • Track and follow up on actions from meetings for the CEO, Chair and Execs ensuring timely completion and smooth running of meetings

Communication and Liaison

  • Act as a gatekeeper and first point of contact for the Executive Office, handling internal and
  • external communications with professionalism and discretion.
  • Act as a central point of contact between the CEO, Chair, Exec Group and key internal and external stakeholders, ensuring the leadership team stays informed and aligned on operational developments

Office Management

  • Oversee smooth running of the London office, ensuring it remains a welcoming and efficient workspace.
  • Manage and maintain the office stationery supplies and other provisions

Culture & Team Support

  • Occasional support with company-wide meetings, social events, and offsites.
  • Foster a positive and inclusive culture through thoughtful engagement and consistent follow-through.
