Document Production Assistant

Our client, a leading legal firm, is currently recruiting for a Document Production Assistant to support their legal teams based in Edinburgh.
The successful candidate will be responsible for producing and amending documents using Microsoft Word, PowerPoint, Foxit, and Excel, ensuring all materials are accurately formatted and adhere to the firm's house style and layout standards.
What You'll Do
- Produce accurate, well-presented documents within agreed deadlines
- Manage calls, emails, and Teams messages, taking clear instructions and relaying document requirements
- Liaise with Coordinators and fee earners to manage priorities and progress updates.
- Report technical or printer issues promptly to IT Support
- Work flexibly to meet urgent deadlines when required
- Support special projects and ad hoc administrative tasks
- Transcribe digital dictation and meeting transcripts accurately and efficiently
- Assist the PA team with document queries, knowledge sharing, and identifying training needs
- Format and update client documents, precedents, and templates in line with house style
- Collaborate with IT and Smarter Working teams on new software rollouts and formatting projects
- Build and maintain strong working relationships across the firm
- Support document bundling and participate in pilot or project work as required
- Communicate effectively with line managers regarding workload, capacity, and challenges
- Undertake other reasonable duties as required
What You'll Need
- Previous experience in a document production role
- Experience within the legal sector (desirable)
- Strong organisational, technical, and problem-solving skills
- Excellent attention to detail
- Advanced Word skills (styles, cross-referencing, track changes, tables of contents)
- Proficiency in Excel and PowerPoint
