Job Profile
The Billing Manager is responsible for leading VistaJet's customer billing function, ensuring the accurate and timely processing of invoices and client statements for Program Members. This role oversees the Billing team, acting as the primary point of escalation for client queries and billing issues, while also driving process improvements, compliance, and efficiency across the function. The Billing Manager will work closely with Sales, Operations, Legal, and Finance to maintain accuracy, support customer satisfaction, and safeguard revenue integrity.
Your Responsibilities
Billing Operations & Accuracy
- Manage the end-to-end Program Billing process, focusing on contracted Members and On Demand revenues.
- Review flight activity daily in GlobalView, ensuring accurate coding, cost, and sales values.
- Oversee preparation and review of customer invoices and statements, ensuring alignment with contract terms, hours, and rates.
- Monitor customer balances (cash and hours flown), reconciling invoices, cash receipts, and unbilled flight activity.
- Add and validate additional charges, notes, and manual statements as required.
- Investigate and report discrepancies between estimated and actual billing values.
Stakeholder Engagement
- Act as primary contact for Program, Legal, and Member Services on billing matters.
- Liaise with Legal on the interpretation of complex customer contracts and ensure billing accuracy.
- Collaborate with Sales to review and approve manual statements before dispatch.
- Partner with Finance colleagues and IT to develop and improve management information and reporting.
Team Leadership
- Lead, motivate, and develop the Billing team, ensuring accuracy, timeliness, and professionalism.
- Conduct annual reviews and provide regular coaching to Billing Coordinators and Supervisors.
- Produce KPI reports to measure performance of the Billing function and track continuous improvement.
- Foster a culture of accountability, collaboration, and service excellence.
Compliance & Reporting
- Ensure compliance with internal policies, contractual obligations, and tax reporting requirements (including monthly FET reporting).
- Prepare reports on flying activity, billing statistics, and exceptions.
- Support annual audits and ensure month-end deadlines are consistently achieved.
Process Improvement
- Identify and implement opportunities to improve billing processes, systems, and controls.
- Partner with stakeholders to deliver enhancements within agreed timescales.
- Lead and support continuous improvement initiatives across the Finance function.
Required Skills, Qualifications, And Experience
- Extensive experience in billing, invoicing, or AR management, ideally within a contract-driven or global service environment.
- Proven people leadership experience, with the ability to motivate, coach, and develop a high-performing team.
- Strong understanding of financial systems (ERP/GlobalView or equivalent) and billing processes.
- Excellent stakeholder management skills, with experience working closely with Sales, Legal, and Operations.
- Analytical with high attention to detail and problem-solving skills.
- Track record of process improvement and implementing system enhancements.
