About Us

Smarti Environmental Ltd is a leading innovator in sustainable water-saving technologies, specialising in waterless urinal systems and eco-friendly solutions for commercial washrooms. As we continue to grow, we're looking for a dynamic and organised Office Administrator to support our operations and customer service functions from our New Exeter office, warehouse and production centre.

Role Overview

This is a pivotal role within our team, responsible for ensuring smooth day-to-day operations, supporting service delivery, and enhancing customer experience. You'll work closely with internal teams, suppliers, and clients to keep everything running efficiently.

Key Responsibilities

  • Invoicing & Accounting
  • Process customer and supplier invoices.
  • Assist with basic bookkeeping and financial reporting.
  • Liaise with external accountants as needed.
  • CRM & Workflow Management
  • Maintain customer records in Salesforce.
  • Use to manage tasks, projects, and team workflows.
  • Service & Maintenance Coordination
  • Schedule and manage service visits and maintenance appointments.
  • Communicate with engineers and customers to ensure timely delivery.
  • Calendar & Diary Management
  • Control team calendars and coordinate meetings, site visits, and deadlines.
  • Stock Control & Procurement
  • Monitor inventory levels and place orders with suppliers.
  • Track deliveries and maintain accurate stock records.
  • Customer Care & Relationship Development
  • Handle customer enquiries and provide excellent support.
  • Follow up with clients to ensure satisfaction and identify upselling opportunities.
  • Compliance & Documentation
  • Maintain records for CPD accreditation.
  • Ensure documentation is audit-ready and up to date.
  • Reporting & Analysis
  • Generate reports on service performance, customer feedback, and stock usage.
  • Provide insights to improve operational efficiency.
  • Marketing & Communications Support
  • Assist with email campaigns, newsletters, and customer updates.
  • Office Management
  • Oversee office supplies, facilities, and general administration.

Skills & Qualifications

  • Proven experience in office administration or operations.
  • Proficiency in Salesforce, , and Microsoft Office Suite.
  • Basic accounting knowledge (e.g., Xero).
  • Strong organisational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Customer-focused mindset with a proactive attitude.
  • Sales Experience with new business development of customers.
