About Us
Smarti Environmental Ltd is a leading innovator in sustainable water-saving technologies, specialising in waterless urinal systems and eco-friendly solutions for commercial washrooms. As we continue to grow, we're looking for a dynamic and organised Office Administrator to support our operations and customer service functions from our New Exeter office, warehouse and production centre.
Role Overview
This is a pivotal role within our team, responsible for ensuring smooth day-to-day operations, supporting service delivery, and enhancing customer experience. You'll work closely with internal teams, suppliers, and clients to keep everything running efficiently.
Key Responsibilities
- Invoicing & Accounting
- Process customer and supplier invoices.
- Assist with basic bookkeeping and financial reporting.
- Liaise with external accountants as needed.
- CRM & Workflow Management
- Maintain customer records in Salesforce.
- Use to manage tasks, projects, and team workflows.
- Service & Maintenance Coordination
- Schedule and manage service visits and maintenance appointments.
- Communicate with engineers and customers to ensure timely delivery.
- Calendar & Diary Management
- Control team calendars and coordinate meetings, site visits, and deadlines.
- Stock Control & Procurement
- Monitor inventory levels and place orders with suppliers.
- Track deliveries and maintain accurate stock records.
- Customer Care & Relationship Development
- Handle customer enquiries and provide excellent support.
- Follow up with clients to ensure satisfaction and identify upselling opportunities.
- Compliance & Documentation
- Maintain records for CPD accreditation.
- Ensure documentation is audit-ready and up to date.
- Reporting & Analysis
- Generate reports on service performance, customer feedback, and stock usage.
- Provide insights to improve operational efficiency.
- Marketing & Communications Support
- Assist with email campaigns, newsletters, and customer updates.
- Office Management
- Oversee office supplies, facilities, and general administration.
Skills & Qualifications
- Proven experience in office administration or operations.
- Proficiency in Salesforce, , and Microsoft Office Suite.
- Basic accounting knowledge (e.g., Xero).
- Strong organisational and multitasking abilities.
- Excellent written and verbal communication skills.
- Customer-focused mindset with a proactive attitude.
- Sales Experience with new business development of customers.
