Newcastle upon Tyne, Newcastle upon Tyne, United Kingdom OpenWorks Engineering Full time £25,000 - £35,000 per year

Office Coordinator

We're looking for an Office Coordinator who can keep our busy workplace running smoothly, create a welcoming environment for visitors and staff, and bring energy, organisation and positivity to our daily operations. This role is perfect for someone who loves variety, takes pride in great organisation and enjoys being the friendly, reliable face of the business.

Who We Are

OpenWorks is a rapidly growing business operating globally with a passion for exceptional engineering and building on a legacy of defence innovation in the North East of England.

Our products provide ultra-high performance, real-time detection, tracking, identification and targeting of dynamic aerial threats. They have been deployed internationally to protect high profile military and civilian assets, and contribute towards the defeat of nuisance, misguided and maliciously deployed drones during operations.

We are very proud to have supported a wide range of law enforcement and military operators, protecting many of the most high profile sites and individuals around the world.

The amazing things we do are only possible because of a dedicated and passionate team.

Why You'll Love Working With Us

Join a high-energy, collaborative team based in the beautiful Northumberland countryside - where great ideas thrive, challenges are embraced, and people genuinely love what they do.

Here's what our benefits have to offer:

  • Competitive remuneration package from £25,000, with performance-related bonuses and clear progression opportunities.

  • 25 days' holiday + public holidays, with long-service rewards and the option to buy up to 5 additional days.

  • Free breakfast and freshly cooked lunches every day, courtesy of Chef Mark and his team.

  • Private healthcare through Aviva, keeping you feeling your best.

  • Life assurance for peace of mind.

  • Salary sacrifice schemes – including EV car and Cycle to Work options for easy, sustainable travel.

  • Paid team socials – from quiz nights and football to board games and more; we love to have fun together.

  • Pension plan with up to 4% employer-matched contributions to help you plan for the future.

  • A culture that empowers – we enable change, encourage challenge, and celebrate personal growth.

What you'll be doing:

Creating a well-run workplace– keeping both offices tidy, organised and well-stocked so the team has everything they need

Shaping the first impression of OpenWorks– welcoming visitors, managing sign-in, handling calls and ensuring every interaction feels warm and professional

Partnering with our kitchen team – coordinating menus, managing team food orders and keeping communication flowing

Managing post and deliveries – ensuring incoming and outgoing items move smoothly across both sites

Supporting workplace needs – assisting with adjustments, equipment coordination and requests that help maintain a positive working environment

Providing high-quality admin support– assisting directors and senior leaders with ad-hoc tasks and managing the shared inbox

Helping new starters settle in – offering a friendly welcome, sharing helpful information and supporting the onboarding experience

Bringing our culture to life – supporting the planning of team days, socials, events and office move activities and supporting employee experience initiatives.

Coordinating shared spaces– managing meeting room bookings, maintaining communal areas and encouraging others to uphold high standards.

What we're looking for:

Administrative experience – prior experience in an admin or coordination role

Organisation & detail – highly organised, great attention to detail, and able to manage competing priorities across two sites

Communication – approachable, professional, confident engaging with staff, senior leaders and visitors

Computer literacy– comfortable with Microsoft Office, including Excel

Proactive problem-solver– someone who enjoys creating a tidy, efficient, welcoming environment

Flexible team member – happy to get stuck into a wide range of tasks, from day-to-day operations to supporting events

Professional presence – a calm, friendly, reliable representative of the business
