Hours: 30 hours per week — Monday to Friday, 10:00 am to 4:00 pm (including 30 minute lunch)

Employment Type: Permanent, subject to a 3-month probationary period

Security Requirement: High-level police vetting required

We are now seeking an experienced Occupational Health Administrator to join our team five days a week on site.

Key Responsibilities

  • Act as first point of contact for patients (employees) and client organisations (employers), dealing with general enquiries in person, by telephone and email.
  • Manage appointment booking
  • Maintain and update electronic diaries/appointment systems for clinicians and occupational health advisors.
  • Format and prepare reports for clients and clinicians, including correspondence, management reports and statistical summaries.
  • Collate, process and format data for occupational health records ensuring accuracy, confidentiality and compliance with data-protection requirements.
  • Respond to queries from patients/employees and employers about service delivery, follow-up actions, status of referrals, waiting times etc.
  • Manage reception and telephone responsibilities: answer calls, take messages, forward appropriately and retrieve voicemail.
  • Maintain paper and electronic filing systems, scanning, archiving, tracking physical files and ensuring correct version control.
  • Support the occupational health team with general administrative tasks as required: equipment/consumables stock-checking, stationery ordering, liaising with external specialists, resolving administrative issues.
  • Prioritise workloads to meet service level agreements and ensure timely delivery of admin tasks.
  • Ensure professional, courteous representation of R-Health at all times, acting within confidentiality boundaries and upholding high standards of service.

Person Specification / Skills & Experience

Essential:

  • Excellent spoken and written English.
  • Strong IT skills, including proficiency in Microsoft Office tools: Word, Excel, Outlook.
  • Ability to produce well‐formatted documents, reports and correspondence.
  • Excellent organisational skills with high attention to detail and accuracy.
  • Ability to deal with multiple tasks, prioritise work under pressure, and work to deadlines.
  • A professional telephone manner and strong interpersonal skills when dealing with patients, employers and internal stakeholders.
  • Understands the need for confidentiality of health and personal data, and able to act with discretion.

Desirable:

  • Experience of using occupational health software or database systems.
  • Knowledge of health surveillance scheduling or occupational health processes.
  • Awareness of client‐service mindset in a corporate/healthcare environment.
  • Experience of generating management reports/statistical summaries.
  • Previous experience of working in an occupational health setting (or general health/medical administration) is highly preferable.

Security Requirement:

  • The role requires high-level police vetting clearance before commencement.
