Position Overview:
They are seeking a versatile Office Manager with experience in travel coordination to join their dynamic team. In this role, you will provide comprehensive administrative support to ensure the smooth operation of their office while also managing travel arrangements for their staff and board members. This is an exciting opportunity for an organized and proactive individual to contribute to the company's success and enhance the overall employee experience.
Office & Operations Support
- Oversee the smooth running of the Richmond head office, including facilities, supplies, maintenance and hospitality areas
- Coordinate meeting rooms, events, and client visits, ensuring the office presents a premium, welcoming atmosphere
- Manage relationships with vendors, service providers, and maintenance contractors
- Implement and maintain administrative systems to support a growing team (CRM updates, filing, logistics, compliance)
- Support the onboarding of new starters, preparing desks, IT access, welcome packs and training schedules
Executive & Team Support
- Provide high-level administrative assistance to the Directors and senior leadership team — diary management, travel, itineraries, and expense tracking
- Prepare presentations, reports and correspondence for internal and client meetings
- Liaise with internal teams (sales, marketing, operations, client relations) to ensure effective communication and coordination
Client & Event Coordination
- Arrange client visits and investor events held at the office or external venues
- Ensure client data and documentation (NDAs, contracts, onboarding packs) are accurately recorded and filed
- Support logistics for international trips, and private client events
Compliance & Documentation
- Manage confidential investment paperwork and ensure compliance with FCA-related and internal governance procedures
- Maintain accurate digital and physical filing systems for contracts, certificates, and client records
- Monitor and update company registers and internal databases
Financial & Reporting Support
- Assist with invoicing, payments, and expense reconciliation
- Track budgets for office costs, events, and operations
- Prepare management information or performance summaries for Directors
People & Culture
- Help organise staff events, recognition schemes, and team socials
- Support HR processes such as leave tracking, recruitment coordination, and onboarding
- Be a key culture ambassador, ensuring the office environment reflects the brand's values — professionalism, warmth, and luxury
Qualifications:
- Proven experience as an Office Manager or similar role, preferably in a corporate environment.
- Previous experience in travel coordination is required.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks efficiently.
- Strong communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with travel booking platforms.
- Ability to work independently with minimal supervision and prioritize tasks effectively.
- Discretion and professionalism when handling sensitive and confidential information.
- A positive attitude and willingness to collaborate with team members to achieve common goals.
