BIG is looking for a diligent Document Controller to join its dynamic London studio. This role will be for a fixed-term period of maternity cover, commencing in January 2025 and lasting for approximately 6 months.
BIG is a group of 750+ architects, engineers, urbanists, inventors, researchers and business minds from all over the world who are based in our Copenhagen, New York, London, Barcelona and Los Angeles offices. While we are led by a group of expert partners, directors, and associates, a flat hierarchy and collaborative spirit are essential to our BIG ecosystem. We are infectiously ambitious and unified by the shared mission to craft the world we want to live in, to give form to our future one project at a time.
Our team has been growing at a rapid pace and we are now on the lookout for a hardworking individual with strong attention to detail to be based in London. The Document Controller will report to a specific Project Leader and will be responsible for ensuring that all project documents assigned to them for review are accurate and compliant with organisational standards.
Key Responsibilities:
- Maintain and optimise document control systems and processes, managing the distribution, retrieval, and archiving of documents.
- Ensure documents are updated, reviewed, and approved according to company policies.
- Conduct regular audits of documents to ensure compliance with internal and external standards.
- Collaborate with various departments to ensure documentation meets project and organisational requirements.
- Serve as the main point of contact for document-related queries and issues.
- Liaise with project teams to ensure document-related needs are addressed promptly.
- Train staff on document management processes and systems as needed.
- Bachelor's degree in Business Administration, Information Management, or a related field (preferred).
- Minimum two years' experience as a Document Controller or in a similar role.
- Experience with document control systems (Aconex required).
- Excellent attention to detail and accuracy.
- Strong organisational and time-management skills.
- Proficient in Microsoft Office suite.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
This job description reflects the core activities of the role and is not intended to be either prescriptive or exhaustive; it is issued as a framework to outline the main areas of responsibility at the time of writing. There is a requirement for the post holder to recognise this and adopt a flexible approach to work.
Application:
Please upload your CV and cover letter. We will contact you if your profile matches our requirements.
This is a full-time position based out of BIG's London office. The salary for the role will be subject to relevant experience and qualifications.
Relevant applicants will be interviewed on an on-going basis, we are seeking to fill the vacancy as soon as possible.
Please note that the salary banding for this role falls below the standard salary requirement (referred to in the immigration guidance as the "general threshold") for a Skilled Worker Visa (which is currently £38,700). The standard salary requirements do not apply to all applicants for a Skilled Worker Visa, and there are a range of other immigration routes to the UK which an applicant may be eligible for dependant on their personal circumstances.
Diversity has been part of our DNA since BIG's foundation. A multitude of cultures and backgrounds creates a new point of reference which leads to amazing insights. At BIG, we value, celebrate and support diversity because it makes our team, work and the built environment better. We are proud to be an equal opportunity workplace and take affirmative action to employ equally regardless of race, colour, ancestry, religion, sex, national origin, sexual orientation, age, citizenship, marital status, disability, or gender. We are committed to promoting equal opportunities and creating a workplace culture in which diversity and inclusion is valued - if you have any questions about this vacancy (or require any reasonable adjustments to be made to the process due to a disability), please specify this in the designated section of the application form.
