We are seeking a professional and organized GP Receptionist/Administrator to join our medical practice. The ideal candidate will serve as the first point of contact for patients and visitors, managing front desk operations with efficiency and professionalism. This role requires excellent communication skills, strong organizational abilities, and proficiency in office management systems. The GP Receptionist/Administrator will play a vital role in ensuring smooth daily operations, providing exceptional customer service, and supporting administrative functions within the clinic.
Duties
- Greet patients and visitors warmly, ensuring a positive experience from arrival to departure
- Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages accurately
- Maintain patient records through data entry and filing, ensuring confidentiality and accuracy
- Utilize software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
- Handle appointment scheduling and calendar management efficiently to optimize provider availability
- Process payments and insurance claims as needed, supporting billing procedures with bookkeeping skills
- Assist with clerical duties including proofreading documents, managing correspondence, and maintaining office supplies
- Support office management tasks such as organizing files, managing office inventory, and coordinating with staff
- Provide excellent customer support by addressing patient questions and concerns with professionalism and courtesy
- Uphold phone etiquette standards when communicating with patients and staff
Qualifications
- Proven experience in office management, administrative support, or clerical roles within a healthcare setting preferred
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills
- Experience with front desk operations, multi-line phone systems, and appointment scheduling software
- Bilingual abilities are a plus to assist diverse patient populations
- Knowledge of QuickBooks or bookkeeping experience is advantageous
- Excellent organizational skills with attention to detail and accuracy in record keeping
- Strong communication skills including phone etiquette and customer service orientation
- Ability to manage multiple tasks efficiently while maintaining professionalism under pressure
- Previous experience as a medical receptionist or dental receptionist is desirable but not required
- Familiarity with medical terminology or personal assistant experience is beneficial
