Since the inception of IOM in 1951, Movement Operations have been and continue to be a fundamental pillar of the Organization's work. The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM's operations. Movement Operations Units in various IOM Country Offices, coordinated under the Resettlement and Movement Management (RMM) Division in the Department of Mobility Pathways and Inclusion at IOM's Geneva Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM's auspices, in accordance with the various framework agreements with resettlement and receiving Governments and partners across the spectrum of the Organization's programmes.

Under the direct supervision of Head of Programmes, and working in close coordination with the National Officer Resettlement and Complementary Pathways Officer, Team leads, the Senior Reporting Associate will provide project development and reporting support of all resettlement projects managed by IOM London.

Responsibilities

The Senior Reporting Associate will provide project development and reporting support of all resettlement projects managed by IOM London, and by doing so will be responsible for the following functions:

  1. Support the drafting and compilation of interim and final narrative reports for the UK Resettlement and Complementary Pathways Programmes. This includes internal coordinating with relevant units to collect and consolidate inputs, reviewing for coherence and completeness, and submitting reports through PRIMA for review and finalisation by the Head of Programmes, in line with institutional guidelines.
  2. Support the drafting of project proposals and budgets for the UK Resettlement and Complementary Pathways Programmes. This includes compiling inputs, checking consistency across documents, and supporting submission through PRIMA in close coordination with the National Resettlement and Complementary Pathways Officer and Head of Programmes.
  3. Support the National Resettlement and Complementary Pathways Officer in the review of the Grant Scheme Requirements (GSRs) for all the UK Resettlement and Complementary Pathways Programmes to verify consistency with the project proposals.
  4. In support of knowledge management, maintain accurate and updated records of all correspondence, reporting files, and related information in IOM's relevant software application.
  5. Collaborate with project teams to support project development and reporting, including data collection, compilation, and reporting. Assist in administering surveys, coordinating interviews or focus groups, and compiling results for internal use.
  6. Maintain accurate records of donor reporting timelines, proposals and programme performance. Maintain institutional files updated in relevant software systems.
  7. Prepare and maintain internal data protection tables and logs, checking accuracy and completeness in line with IOM standards and General Data Protection Regulation principles.
  8. Assist with documentation and coordination for donor engagement and performance meetings as well as programme management team meetings. This includes drafting briefing notes, preparing presentations, and recording action points for follow-up.
  9. Attend internal and external meetings as required, taking meeting notes and coordinating follow-up actions under the direction of the Head of Programmes.
  10. Maintain confidentiality and promote integrity in the handling of all projects and personnel-related information.
  11. Perform such other related duties as may be assigned.
Qualifications

Education
  • High school diploma with six years of relevant professional experience; or, 
  • Bachelor's degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with four years of relevant professional experience.


Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience
  • Experience in compiling donor reports, managing inputs from various program units.
  • Prior experience in supporting the coordination of project proposals from information provided by unit leads.
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Experience in working with migrants, refugees and other vulnerable groups.


Skills
  • Good writing and editing skills; demonstrated ability to work effectively with a variety of clients and stakeholders.
  • Ability to prepare clear and concise reports.
  • Demonstrated computer literacy, especially with Microsoft Office software suite.
  • Excellent written and verbal communication skills.
  • Excellent organizational and administrative skills, with strong attention to details.
  • Ability to work to deadlines and under pressure.
  • Ability to respond quickly and diligently to simultaneous requests.
  • Demonstrated ability to work effectively in a multi-cultural setting.


Languages

IOM's official languages are English, French and Spanish.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
