You'll provide administration support and contribute to the strategic planning, monitoring, evaluation, and development of the nursery. We are seeking a professional and organised Administrator to join our team. The successful candidate will be responsible for providing comprehensive administrative support to ensure the smooth operation of our office. This role offers an excellent opportunity for individuals with strong organisational skills and experience in office administration to contribute to a dynamic and supportive work environment. The Administrator will play a key role in managing daily tasks, maintaining records, and facilitating effective communication across departments.
Responsibilities
- Maintaining Family and account records on our nursery systems (training will be provided).
- Resolving any account queries, including the administration of childcare vouchers, collecting fees, and pursuing outstanding fees.
- Maintaining accurate and confidential staff, children, and parent records.
- Preparing banking and monthly payroll spreadsheet.
- Liaising with Nursery Manager and Head Office.
- Checking and sending invoices.
- Welcoming parents, children, and visitors.
- Communicating pleasantly and effectively in person, in writing and on the telephone.
- General office duties, managing and maintaining accurate records through data entry and filing systems.
- Handling incoming calls with professionalism and courtesy, adhering to proper phone etiquette.
- Organising meetings, appointments, and travel arrangements if needed for the setting.
- Preparing reports, correspondence, and other documents using Microsoft Office.
- Supporting the setting management team with administrative tasks.
- Ensuring the office environment remains organised and efficient by managing supplies and equipment.
- Responding promptly to internal and external enquiries via email or phone.
- Assisting with perspective parent enquiries and supporting the nursery's enquiry and waiting lists.
Skills
- Ideally office experience with an understanding of administrative procedures.
- Excellent computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- Strong organisational skills with the ability to prioritise tasks effectively.
- Good telephone etiquette with excellent communication skills.
- Ability to work independently as well as part of a busy nursery team.
- Attention to detail and high levels of accuracy in all work undertaken.
