Purpose of Position
The Events Coordinator supports the execution of multiple Owner and Prospect for UHNWI client events throughout Europe. The Events Coordinator will support the department with providing exceptional, money-can't-buy experiences for existing clients to strengthen relationships and encourage loyalty, always with the NetJets brand front of mind. This will be achieved by pro-actively maintaining and supporting systems; managing invitation guest lists; managing assigned events; providing support on larger events and assist in all other areas of event organisation ensuring that the department runs smoothly and effectively while also executing flawless events, on-brand, on-time and within budget.
This position requires 30% travel to events European-wide.
Tasks And Responsibilities
- Assists in the planning of the largest, most high profile planned events with a constant focus on budget parameters;
- Support Events Leads with the management of larger, high-profile Owner events;
- Manage allocated headline events, smaller partner events and statics to include pre-event and on-site briefings, and all coordination with suppliers and Sales team before the event and on-site;
- Ensures on-site flawless execution supporting pre-event communications, guest arrival process, onsite event management, onsite print, Owner gifts, post-event communication, etc;
- Wrap up of events, including post event reporting and analysis;
- Preparation of all relevant event documentation
- Working with relevant teams across the business to support flawless execution of events;
- Produce clear project plans and event budgets for each event and coordinate with all areas of Marketing and Communications;
- Prepares and ensures contracts are put in place for each event and signed and returned by clients;
- Oversight of respective event budgets related to the project;
- Contribute to all aspects of event management from location selection to catering etc;
- Execute events efficiently and with an eye for detail and continuous improvement;
- Ensure that all aspects of the event are managed in line with NetJets branding;
- Manages Owner communication inbox for events in progress. This is key to the success of the event and allows the team to identify unique opportunities to enhance the Owner experience;
- Demonstrate excellent response skills at all times;
- Ensure all client interaction is first class and beyond expectation;
- Manage event admin requirements;
- This includes but not limited to, raising POs for events and submitting invoices in a timely manner and ensuring invoice tracker is up to date;
- Managing team travel and shipments to events;
- Contracts and AFEs;
- Ensuring pre-event to communicate to the Sales team on which Owners/Prospects are attending and post-event on who attended to give accurate figures for analytics;
- Facilitate solutions regarding any issues that affected an event;
- Problem-solving quickly, efficiently and accurately to provide the best outcome;
- Liaising with the Events Leads to come to the best solution;
- Quick thinking and proactive approach to ensure our customers receive the best results at the events;
- Help in the execution of overall company and event goals and objectives of the Events and Marketing team;
- Follows and executes yearly event goals and objectives set out by the Senior Events and Partnerships Manager;
- Maintaining a can-do attitude with the goal to always improve and adapt to change;
- Contributing to the overall success of the company through the Events programme, for example, providing the Sales Team with a platform to sell to their clients and prospective clients;
- Tracking all flight revenue and new deals input through the events programme;
- Consistently striving for better results and improved systems/processes;
- Research into new projects that could suit the NetJets events programme.
Education
Bachelor's in Events Management or related field

Essential
Knowledge, Skills, Abilities and Other (KSAOs)
- Minimum 3 years' experience in the luxury events industry;
- Fluent in English written and verbal;
- Outstanding written and verbal communication skills;
- Excellent presentation;
- Strong vendor relationships;
- Excellent Microsoft Office skills, including Excel, PowerPoint, Word and Outlook;
- Highly organised with excellent planning skills and ability to prioritise tasks;
- Creative thinker, able to keep calm in a busy environment;
- Will have worked end to end on projects, from concept to production and delivery to final reconciliation post event;
Preferred
- Post Grad in Events Management;
- Knowledge of one or more European languages (French, German, Italian preferred);
- Experience with Salesforce;
- Experience of dealing with VVIP/High Net Worth Individuals
