About the Role
We are seeking a Patient Coordinator who is polished, organised, clinically confident, and able to support both the front-of-house experience and the clinical workflow.
This role goes beyond reception — you will be deeply involved in patient care, lead handling, clinical preparation, and creating an exceptional client journey from start to finish.
Key Responsibilities
Clinical Support & Patient Care
- Assist with medical filing, patient charts, and digital records
- Manage, prepare, and organise all consent forms
- Take before/after photos using clinic protocols and angles
- Consult patients on treatment expectations, pre-care, and aftercare (training provided)
- Apply topical numbing when required
- Perform patch tests for certain procedures (according to protocol)
- Prepare treatment rooms between patients
- Support practitioners and doctors during patient flow
- Maintain immaculate clinical and reception areas
Educational & Treatment Coordination
- Explain treatments in a clear, confident, patient-friendly manner
- Guide patients through procedures, timelines, and aftercare
- Make personalised recommendations aligned with practitioner guidance
- Support content creation by gathering patient protocol images where needed
- Assist with creating a smooth journey between aesthetic, skin, and surgical services
Lead Handling & Follow-Up
- Manage phone and online leads, ensuring every enquiry is responded to promptly
- Track lead sources and appointment conversions
- Follow up with patients who have expressed interest
- Ensure patients feel supported and fully informed before their visit

Requirements
- Experience in an aesthetic clinic, medical spa, dermatology, or cosmetic surgery environment (preferred)
- Strong communication and patient-facing skills
- Ability to explain procedures with accuracy and simplicity
- Comfortable with medical filing and digital record-keeping
- Experience with consent forms, patient intake, or clinical admin
- Ability to apply topical numbing and perform patch tests (training provided)
- Knowledge of (or willingness to learn) aesthetic procedures such as Botox, fillers, skin treatments, laser, and surgical services
- Professional presentation and luxury service etiquette
- Ability to multitask in a busy clinic without compromising quality
- Strong attention to detail and confidentiality
