TidalSense is a respiratory technology company with a mission to transform the diagnosis, monitoring and management of chronic respiratory conditions, such as asthma and COPD. The company has ambitions to enable a population-scale change in respiratory care through global deployment of its technologies. TidalSense has launched the first-of-its-kind AI-driven (software medical device) diagnostic test for COPD which uses the company's unique, patented, sensor technology embedded in the N-Tidal Handset medical device.

We are seeking an office manager with strong organisational, communication, and administrative skills. We are at an exciting phase in our journey as we transition from a start-up to a scale-up. You will be joining a passionate, socially-motivated and multi-disciplinary team covering engineers, scientists, clinicians, designers, product and usability specialists. This is a unique opportunity for a driven and autonomous individual to manage and develop the facilities and processes that are the foundations of our business, providing vital support as we commercialise our medical devices to deliver impact in the real world and change people's lives. We are seeking someone who is comfortable working in a fast-paced, agile, and diverse team environment, and who is also committed to our mission to revolutionise respiratory medicine.

Job Purpose
To balance administrative, organisational and managerial tasks to keep the TidalSense office - and our employees - working smoothly, efficiently and professionally.

Requirements
Key duties & responsibilities

  • Manage the safe and effective running of the office facilities, including:

  • Stock management and ordering of office supplies, consumables and equipment

  • Managing service providers (eg maintenance, security and cleaning)
  • Being accountable for keyholder management and opening and closing the office

  • Support on-site Health & Safety (H&S), including:

  • Conducting DSE assessments

  • Logging and reporting safety incidents as appropriate
  • Contributing to the development and implementation of key H&S initiatives through membership of the H&S Committee

  • Provide executive administrative assistance to the TidalSense Senior Management Team (SMT), including:

  • Business travel planning

  • Conference booking and organisational admin
  • Organising company meetings and events
  • Arranging ad hoc guest lunches
  • Managing Docusign for internal processes
  • Supporting with diary management

  • Act as Front of House for the TidalSense office

  • Work from the Reception desk to greet visitors

  • Sign visitors in and out of the premises (including conducting any relevant Health & Safety briefings)

  • Provide administrative support to the People function, including:

  • Tracking and chasing training and induction compliance

  • Onboarding / offboarding employees
  • HR reporting (e.g. leave taken, sickness absence)

  • Provide administrative support to the Finance function, including:

  • Payroll inputs

  • Managing 'Accounts' inbox
  • Loading payments
  • Raising POs
  • Responding to reconciliation queries

  • Support the Production and Customer Operations teams with goods in / out operations

Skills & Competencies
Essential:

  • Excellent clerical and administrative skills

  • Strong team spirit and hands-on mentality

Qualifications & Experience
Essential:

  • Relevant experience in an administrative role

Desirable:

  • Experience in an Executive Assistant or Office Manager role
  • Health & Safety qualifications (eg IOSH Managing Safely)
  • Knowledge of basic HR practices
  • Previous experience working within a medical device or regulated business

Other Requirements

  • Legally eligible to work in the UK without sponsorship
  • Will need to be able to work in person in the Cambridge office 5 days / week

Salary £30,000-40,000 (depending On Experience)
TidalSense operates a fair pay structure to ensure our colleagues are paid equitably and competitively for their skill, expertise and experience. Successful candidates will be offered this role at the appropriate grade, based on both their resume experience and our judgement of their performance level through the assessment process.
