The Role:

We are seeking a proactive and detail-oriented Quality Support Administrator to provide essential administrative and documentation support to our Director of Quality Compliance & Risk. This role is pivotal in ensuring smooth coordination of quality activities, documentation compliance, and team efficiency. The successful candidate will be highly organized, able to work to deadlines, and comfortable communicating with multiple stakeholders to keep quality processes on track.

This is a part time position working 12-14 hours per week

The position is remote but you may be required to attend any of the 8 TFP clinics on occasion, with notice

The position is available as a 12 month fixed term contract

The Location:
The position will be mostly remote. However, the head office team are based from TFP Oxford Fertility which is conveniently located in a business park setting on the outskirts of Oxford, close to junction 8a of the M40, there is ample free parking for staff and patients around the building. If successful candidate may be required to travel to any of the 8 TFP locations , with prior notice.


Key Responsibilities:
· Support with document control and review of quality-related documentation.

· Assist in meeting coordination: scheduling, preparing agendas etc

· Track Quality team deadlines and deliverables, proactively following up with stakeholders to ensure timely completion.

· Carry out basic document-based audits to ensure compliance with internal and external requirements.

· Assist with the collection, collation, and reporting of Key Performance Indicators (KPIs).

· Support in the preparation of presentations and reports.

· Maintain and update databases and document management systems.

· Provide general administrative support to the Quality function.

Qualifications and Training:

· Proven experience in an administrative or coordination role (experience in a Quality, Compliance, or Regulatory environment is an advantage).

· Strong attention to detail and accuracy in reviewing documents.

· Excellent organisational and time management skills, with the ability to manage multiple priorities.

· Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).

· Familiarity with document management systems or databases is an advantage

· Confident communicator, able to engage with colleagues at all levels and chase actions diplomatically.

· Proactive, reliable, and able to work independently as well as part of a team.

Location: Remote

Hours: 12-14 per week

12 month Fixed Term Contract

Salary: Competitive (Experience dependent)

Pension: Dual Contribution scheme

Holiday Entitlement: 27 Days + Bank holidays (pro rata)
