Description/Job Summary
The role of the Events Assistant will be to support the Events Team to help plan and deliver the London office events programme to achieve internal, marketing and business development objectives.

Responsibilities/Duties

  • Supporting the Events Team with administrative aspects of planning, managing and running the firms' events programme
  • Supporting with event logistics throughout the lifecycle of an event for example: researching venues/experiences, conducting site visits, sourcing entertainment, working with the graphics team to design and send invitations through our e-marketing program, chasing and collating responses, creating pre-event material such as name badges/place cards/table plans and confirming final details with relevant parties
  • Running small internal office events overseen by the Events Coordinator
  • Being present onsite at events to ensure high quality and smooth running. This includes events that occur outside 9:30am - 5:30pm
  • Ensuring that all process documents and event templates are kept up to date
  • Maintain inventory of promotional items and other marketing related items
  • Update and maintain the events calendar
  • Monitoring the London Events inbox and action where necessary
  • Uploading event guest lists into One Place (CRM system)
  • Raising invoices and processing expenses
  • Staying abreast of competitor activity, new event industry developments and maintaining external supplier relationships
  • Support BD projects and other Firm initiatives as needed
  • Any other administrative tasks supporting the events team.
