The role
Carlisle Support Services is looking for a Compliance Coordinator to cover Maternity Leave. You will be required to become a confident Timegate user, in order that you can be confident that the personal data we hold is both accurate and relevant and in line with our legal obligations under GDPR.

Your core role will include but not be limited to the following activities:

  • Providing a link between the Operations and Helpdesk team, being the main point of contact for all Compliance task related issues.
  • Assist the Contract Manager to ensure all processes and procedures are followed in-line with Carlisle Support Services.
  • Policies are followed to ensure all compliant with statutory and company procedures, across all functions.
  • Alignment of Inhouse and subcontractors for delivery of Planned Preventative Maintenance activities including collation of reports and corrective actions.
  • Ensure Planned Preventative Maintenance tasks are scheduled and completed on time and all subcontractor administrative actions are completed in a timely manner.
  • Create and maintain trackers for client reassurance of statutory tasks are completed in line with SLA.
  • Ensure that all reports are received in a timely manner and put into the Elogs CAFM System.
  • All remedial works highlighted in the reports to be processed from fault raised to completion closure.
  • All quotes for remedials are raised within SLA and PO raised.
  • Review and update Contract Manager of Planned Preventative Maintenance and Remedial status each period review.
  • Contribute to improving customer support by actively responding to queries and auditor updates as required.
  • Chasing and closing tasks, ensuring we remain within SLA.
  • Work proactively to ensure escalated issues are managed professionally and in a timely manner.
  • Maintain a continued focus on process improvement, establishing best practise and sharing information with the wider team to ensure consistency.
  • Ensuring that major incidents are escalated and communicated appropriately to the relevant individual.
  • Weekly meeting with the client to keep them up to date of statues of statutory Planned Preventative Maintenance and remedials.

The ideal candidate

  • Previous experience in a administration role
  • Experience working within the FM industry
  • Strong knowledge of CAFM systems
  • Excellent customer service skills
  • Excellent work ethic
  • Positive and professional attitude
  • Proven background in a compliance role

Successful candidates will be required to provide original documentation for detailed screening and vetting processes.

This could include the following: passport / driving licence / utility bill dated in the last 3 months / HMRC letter / original bank statement / original payslip / birth certificate / a valid share code.
