We are looing to employ a Fleet Co-ordinator who will oversee the company's vehicle fleet, ensuring efficiency, cost-effectiveness and compliance to laws, regulations, company standards and policies..

Based at our head office in Thornliebank, Glasgow, you will play a crucial role in ensuring full compliance of all company vehicles and drivers and will work within the Business Compliance team.

The Fleet Co-ordinator will:

  • Coordinate, monitor and book all fleet vehicle maintenance, servicing, MOTs and repairs.
  • Carry out vehicle inspections on a planned and regular basis. Working with a calendar of inspections for vehicles on work sites and vehicles brought into the office for checks.
  • Ensure all drivers of company vehicles have relevant documents in place before driving a company vehicle and carry out ongoing monitoring of drivers, including adherence to safety protocols and legal requirements.
  • Work with teams across the business to ensure operational efficiency by optimising route planning, vehicle utilisation and fuel consumption.
  • Ensure all drivers of company vehicles adhere to laws, regulations, and internal policies regarding vehicle safety, driver hours, and other relevant areas.
  • Adopt a close working relationship with the Health & Safety team for completion of records, compliance with company policies and to be responsible for any health and safety briefings that need to be written and delivered in line with driving and company vehicles.
  • Monitor and report on fleet performance, vehicle downtime, fleet re-allocation, driver performance, vehicle damage and other key metrics.
  • Engage and interact with drivers, suppliers, sub-contractors and internal stakeholders to ensure effective communication and collaboration.
  • Carry out internal audits on all areas of the business in line with the use of company vehicles and the systems that support this.
  • Be an integral part of the Business Compliance Team, understanding and able to support all areas; Quality, Health and Safety and Environmental.

In this role you will need to have:

  • Strong organisational and analytical skills to effectively co-ordinate the fleet and making data-driven decisions to improve the overall management and efficiency of the fleet and its drivers.
  • Good communication and interpersonal skills are essential to ensure necessary and effective interaction and engagement with drivers, suppliers, and internal stakeholders.
  • Computer literate and proficient in relevant software system. The management of the fleet will all be recorded and monitored via online software systems, to enable proficient fleet management data and reporting mechanisms
  • Experience of carrying out internal audits, would be an advantage.
  • Knowledge of vehicle maintenance and repair to oversee vehicle upkeep, maintenance and ensure they are roadworthy.
  • Understanding of relevant legislation and regulations to ensure compliance with legal requirements.
  • Experience of writing and working with procedures and process as well as within a controlled IMS system.
  • Ideally you will have health and safety knowledge and experience.
