Job Description:

  • Assist in preparing and submitting project proposals for public funding opportunities (e.g., government agencies, innovation grants, EU programs).
  • Review and interpret funding guidelines and documentation requirements.
  • Populate templates, merge documents, and organize meetings to track proposal progress and action items.
  • Collaborate with Project Investigators (PIs) and Project Managers (PMs) to compile financial and administrative documentation.
  • Maintain version control of all proposal documents and ensure timely, accurate submissions.
  • Support the design and implementation of web-based tools to streamline proposal development processes.
  • Compile, format, and prepare documentation for sponsor review meetings (e.g., quarterly, annual).
  • Coordinate with project partners to gather required inputs and ensure compliance with sponsor specifications.
  • Develop and update project monitoring reports, presentations, risk registers, schedules, and financial logs.
  • Communicate instructions, reminders, and deadlines to project partners to ensure timely submission of deliverables.
  • Support the rollout of project frameworks, operating rhythms, and stakeholder management tools.
  • Facilitate risk, issue, and opportunity management meetings; track mitigation actions and maintain logs.
  • Update and monitor the Integrated Master Schedule (IMS) and track progress of technical team activities.
  • Assist with financial forecasting, VAT breakdowns, and procurement coordination.
  • Coordinate logistics for shipping and transportation of goods in collaboration with relevant teams.
  • Document meeting minutes, follow up on actions, and monitor partner dependencies to ensure alignment.
  • Organize and support project review meetings, dissemination events, and visitor engagements.
  • Prepare and circulate meeting materials, ensuring approvals from key stakeholders.
  • Capture minutes, record actions, and follow up to ensure timely closure.
  • Coordinate with consortium partners while adhering to established communication protocols.

Skills:

  • Proven experience in project coordination, administration, or a similar role.
  • Strong organizational skills with the ability to multitask and maintain attention to detail.
  • Familiarity with public funding processes and documentation requirements is an advantage.
  • Proficiency using project management tools and software.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with cross-functional teams and external partners.
  • Knowledge of financial forecasting, procurement processes, or VAT considerations is beneficial.
