Under the direction of the City Clerk/Manager of Legislative Services, the Election Coordinator will lead and coordinate complex initiatives like community outreach and staff training to help ensure a successful 2026 municipal and school board election. The Election Coordinator will manage the municipal election project plan and key initiatives of the election program in advance and during the 2026 municipal and school board election.  

Duties & Responsibilities

  • Leads and assists with key election projects, including but not limited to, project management and progress tracking, voting locations and accessibility planning, election policies and procedures development, election worker recruitment and training, candidate and voter outreach, election supplies ordering, distribution and voting day logistics, as well as results and election data reporting.
  • Reviews and makes corrections to the Preliminary List of Electors (PLE) using the Datafix system and provides training to other internal staff on adding or revising elector information on the voters' list.
  • Informs project leads of project plan changes that may impact legislative deadlines as set by the Municipal Elections Act.
  • Assists with the selection of voting locations and conducting site audits to ensure locations meet accessibility requirements established by the Accessibility for Ontarians with Disabilities Act (AODA). 
  • Develops public reports, including the Accessibility Plan and Accessibility Report.
  • Develops and revises election policies and procedures as needed.
  • Supports the recruitment process and leads the development of training materials and delivery of training to election workers.
  • Responds to inquires in person, by telephone, mail and e-mail from the public, candidates and election workers related to election matters.
  • Plans, develops and delivers presentations or workshops to engage potential election workers, candidates and voters related to the municipal election.
  • Maintains legislative awareness of recent changes and impacts to election process.
  • Assists with standardizing election forms, election supply inventories and organization, as well as logistics planning for delivery of election supplies on voting days.
  • Supports the management of advanced voting and voting day locations as required.
  • Other duties as assigned.

Qualifications

  • University degree in Political Science or related field preferred, or a College Diploma.
  • Minimum 2 years of experience working with municipal government administration.
  • Municipal election, or other election event administration experience is an asset. 
  • Project Management experience and/or education is an asset. 
  • Experience leading projects, motivating, training and supporting staff in a service oriented, politically sensitive environment.
  • Knowledge and understanding of the Municipal Elections Act, 1996, AODA, and general knowledge of municipal operations and relevant bylaws.
  • Excellent organization and problem-solving skills with the ability to manage multiple tasks and priorities in a demanding environment. 
  • MS Office skills.
  • Ability to demonstrate respect for highly confidential information.
  • Ability to work outside normal working hours.
  • A valid G drivers license, in good standing with access to a reliable vehicle.  

This is a full-time, temporary position working 35 hours a week, starting February 2, 2026 until approximately December 4, 2026. Overtime may be required during peak periods. The position comes with a rate of $30.00 per hour and eligibility in the Omers Pension Plan.
