Title: Finance Support Officer

Responsible to: National Finance Manager

Location: the post will be based in our main Dumfries Head Office but may involve travel, from time to time, to other Food Train branches to assist staff with induction and training.

Context: Food Train Head Office in Dumfries manages and oversees all financial functions for the organisation across Scotland.

As the organisation continues to develop and modernise its financial processes, we are introducing new systems and improving how financial information is collected and managed across our branches.

To support this work and to ensure we have the capacity required to maintain accurate, timely and efficient financial administration, we are recruiting an additional Finance Support Officer to join the national finance team.

Duties: The post holder will work closely with the National Finance Manager to support the delivery of accurate, timely and compliant financial administration across Food Train.

Duties include checking monthly accounting entries across all branches, offering feedback and support to staff and ensuring that all entries are coded, categorised and reconciled correctly. They will run monthly financial reports, monitor sequential cheque use, check delivery charges and sundry allocations, and reconcile shopping accounts.

The role includes monthly checking of multipay balances, debit card balances, direct debit balances and customer account balances for completion and accuracy. The post holder will assist with the running of the monthly purchase ledger and support the payment of supplier accounts. They will assist with bank reconciliations and Go Cardless payment reconciliations.

Additional responsibilities include completing recharges and account splits for branches and projects, supporting the setup and administration of finance systems in new areas as the organisation grows and completing Gift Aid claims and declarations. The role also supports preparations for the annual audit and review of branch financial records.

The Finance Support Officer will contribute to general finance administration including filing, shredding, responding to financial queries by phone or email and any other tasks required by the National Finance Manager. In rare cases of severe operational pressure, all staff may be asked to support service delivery, which could involve shopping or deliveries.

Person Specification

Essential

The successful applicant will have experience working within a busy finance office and will demonstrate strong numeracy, literacy and accuracy in financial record keeping. They must be a confident communicator able to explain financial information clearly, support non-financial staff and assist with training where relevant.

They must demonstrate a high standard of administration and digital skills, with proven experience using Microsoft Office, particularly Excel for financial work. Experience using QuickBooks or another accounting software package is essential. The post holder must be motivated, enthusiastic and able to work independently while also being part of a small office-based team connected to a wider national workforce.

Desirable

Experience delivering financial systems training, contributing to statutory audit preparation. Experience in services for older people, experience in the voluntary sector or an understanding of the community and voluntary landscape in Scotland would also be advantageous.
