Work Planner & Administrator

We are seeking a highly organised and detail-oriented Full-time Service Administrator to join our clients dynamic team. The successful candidate will play a crucial role in ensuring the smooth operation of our organization by managing maintenance schedules, coordinating repairs, and overseeing administrative tasks. This position requires excellent planning and coordination skills, as well as the ability to communicate effectively with various stakeholders.

Key Responsibilities
  • Maintenance Planning and Coordination:
  • Arrange and schedule annual maintenance activities for all company facilities and equipment
  • Coordinate ad hoc maintenance requests as they arise
  • Develop and maintain a comprehensive maintenance calendar
  • Liaise with internal departments and external contractors to ensure timely completion of maintenance tasks
  • Monitor and track maintenance expenses and budgets
  • Repair and Alarm Management:
  • Arrange call-outs for emergency repairs and alarm responses
  • Establish and maintain relationships with reliable repair service providers
  • Prioritise and coordinate urgent repair requests
  • Maintain a database of repair history and recurring issues
  • Implement preventive measures to minimise future repair needs
  • Administrative Support:
  • Manage and organize documentation related to maintenance, repairs, and alarms
  • Prepare reports on maintenance activities, repair costs, and alarm incidents
  • Assist in the development and implementation of administrative procedures
  • Handle correspondence and communications with vendors, contractors, and internal staff
  • Maintain accurate records of all maintenance and repair activities
  • Resource Allocation and Optimisation:
  • Analyze maintenance and repair data to identify trends and areas for improvement
  • Optimize resource allocation to ensure efficient use of time and materials
  • Develop strategies to reduce downtime and increase operational efficiency
  • Collaborate with other departments to align maintenance activities with overall business objectives
  • Customer Service and Communication:
  • Serve as the primary point of contact for maintenance and repair inquiries
  • Communicate effectively with the general public, addressing concerns and providing updates
  • Coordinate with internal teams to ensure seamless service delivery
  • Maintain a professional and courteous demeanour in all interactions
  • Continuous Improvement:
  • Stay updated on industry best practices and emerging technologies in facility management
  • Propose and implement process improvements to enhance efficiency and effectiveness
  • Participate in training and development opportunities to expand skills and knowledge
