About Girls I Rate

Girls I Rate (GIR) is a non-profit CIC founded by Grammy-nominated songwriter Carla Marie Williams MBE, dedicated to celebrating, empowering, and creating opportunities for women and girls in the creative industries. Through residencies, mentoring, campaigns and advocacy, we're building a safer and more equitable creative future.

Role Overview

We're looking for a highly organised and proactive Operations Manager to lead on the internal infrastructure of Girls I Rate. This is a senior role supporting the backbone of the organisation, managing core operations including HR, contracting, recruitment, governance, and day-to-day administration.

The successful candidate will bring strong experience in operations within the creative, community or non-profit sectors, and will have a solid understanding of CIC structures, governance, and legal responsibilities.

This is a strategic and hands-on role, ideal for someone who thrives in a purpose-driven, fast-paced environment and wants to help GIR grow sustainably and compliantly.

Key Responsibilities

  • Governance, CIC Operations & Compliance
  • Ensure GIR meets its legal obligations as a Community Interest Company (CIC)
  • Maintain accurate and up-to-date governance records, including Companies House filings, board meeting notes, and policy registers
  • Track board meetings, minutes, reporting deadlines, and CIC-related documentation
  • Ensure organisational compliance with GDPR, safeguarding, equity policies, and other statutory requirements
  • Liaise with legal, HR or finance advisors where necessary

HR & People Operations

Oversee onboarding/offboarding of staff, freelancers, and interns

Maintain internal HR records and documentation

Support a healthy, inclusive workplace culture aligned with GIR values

Coordinate team availability, holidays, and general scheduling

Recruitment & Resourcing

Manage recruitment processes for new roles and freelance support

Draft job descriptions, shortlist candidates, issue contracts

Maintain an up-to-date recruitment/resourcing tracker

Contracts & Administration

Draft and manage freelance contracts, consultancy agreements, NDAs

Ensure contract records are filed and stored securely

Track deliverables, contract timelines, and renewal dates

Organisational Systems & Delivery Support

Oversee GIR's administrative systems (Dropbox, Notion, Google Workspace etc.)

Keep project logs, risk registers, staff trackers and document libraries updated

Support project managers with planning tools, budgets, and templates

Liaise with finance to ensure smooth invoice processing and budget reconciliation

Person Specification

Essential:

At least 3 years' experience in an operations or project management role

Strong understanding of CIC governance, compliance, and legal responsibilities

Experience managing HR processes, contracts, and team operations

Excellent organisational and communication skills

Proven ability to work independently, handle sensitive data, and uphold accountability

Knowledge of administrative tools (e.g. Dropbox, Google Drive, Microsoft 365, Chat GPT, Wordpress, Google Sheets, Mailchimp

Alignment with GIR's mission, values and commitment to diversity & equity

Desirable:

Experience working within a creative or youth-focused non-profit

Familiarity with safeguarding, finance administration, and reporting to funders

Confidence working directly with senior leaders and board members
