As our workload continues to grow, we're looking for a highly organised and proactive Operations Coordinator to join our management team and help keep projects running smoothly from start to finish.
About the Role
The Operations Coordinator will play a vital role in supporting day-to-day project delivery and internal operations.
You'll act as the main link between the office, clients, suppliers, and site teams — ensuring all schedules, materials, and communications are accurate and on time.
Key Responsibilities
- Coordinate daily project schedules and ensure trades are allocated efficiently
- Communicate with clients to confirm appointments, timelines, and updates
- Order and track materials from local suppliers
- Maintain Buildertrend project management software (task tracking, document uploads, updates)
- Support invoicing, payments, and documentation with the finance team
- Manage and organise timesheets and attendance logs
- Assist with health & safety paperwork and compliance tracking
- Provide general administrative and operational support to project managers
Requirements
- Experience in construction administration, project coordination, or operations (preferred)
- Strong organisational and multitasking skills
- Excellent communication and interpersonal abilities
- Confident using digital systems such as Buildertrend, Xero, or similar tools (training can be provided)
- Ability to work under pressure and manage multiple deadlines
- Positive, professional, and proactive attitude
