About The Role
We are seeking a meticulous and proactive Quality Assurance Administrator to support our Quality Assurance & Improvement team. You will play a key role in managing controlled documents, supporting governance processes, and ensuring compliance with internal standards and regulatory requirements.
This is a full-time position, Monday to Friday, 9am–5pm. The role is hybrid, with the expectation of attending our Canterbury office once or twice per week dependant on the hiring managers needs.
Key Responsibilities

  • Maintain and publish controlled documents in line with Psicon's branding and formatting standards
  • Proofread and format documents including policies, procedures, and SOPs
  • Manage document metadata registers and ensure version control
  • Monitor review dates and support document owners with updates
  • Archive obsolete documents and maintain accurate records
  • Support audit delivery and compile reports for the QA team
  • Organise meetings, take minutes, and respond to queries from the quality inbox
  • Provide guidance on document templates and naming conventions
  • Contribute to continual improvement of document control processes

Person Specification
Essential

  • Proven experience in document control, administration, or quality support
  • Strong attention to detail and proofreading skills
  • Proficient in Microsoft Office 365 (Word, Excel, SharePoint, OneDrive)
  • Excellent organisational and record-keeping skills
  • Understanding of metadata management and version control
  • Ability to manage multiple workflows and meet deadlines

Desirable

  • Experience supporting audits or quality assurance processes
  • Familiarity with SharePoint or other quality management systems
  • Confidence in training or guiding colleagues on document standards
  • Experience using Adobe Creative Suite (e.g., InDesign, Illustrator) or a design background to support document layout and branding consistency
