We're looking for a Mobilisation Coordinator to join our Facilities Management team on a 3 months FTC— someone who will play a critical role in ensuring smooth mobilisation of new contracts and seamless handovers into steady-state operations.

At Arcus FM, you'll work closely with clients, suppliers, and internal stakeholders to coordinate resources, track progress, and support the successful launch of new facilities contracts across a dynamic portfolio.

What You'll Be Doing

Key Accountabilities:

  • Coordinate all aspects of contract mobilisation, supporting both operational and financial processes

  • Serve as the main point of contact for site visitors, managing booking-in procedures and ensuring a professional experience

  • Collaborate with procurement and operational teams to ensure supplier agreements reflect contract scope

  • Raise and manage purchase orders, schedule deliveries, and support site supply logistics

  • Support the Implementation Director with reporting, document control, and contract-related communications

  • Track mobilisation-related spend and provide data for accurate billing and forecasting

  • Work with engineers, cleaners, and other IFM personnel to ensure operational readiness

  • Help coordinate planned and reactive maintenance, ensuring compliance with site procedures

  • Lead on minute-taking, agenda prep, training bookings, and follow-up on meeting actions

  • Oversee the onboarding of new suppliers and coordinate all mobilisation-related logistics

  • Support continuous improvement by identifying process enhancements

  • Help manage mobilisation timelines, risk logs, and stakeholder updates

  • Attend client meetings, support specialist workstreams, and ensure a smooth handover to account teams

  • Experience in facilities management, project coordination, or contract mobilisation

  • Strong organisational and time-management skills – you stay ahead of deadlines

  • Attention to detail and a process-oriented mindset

  • Solid understanding of commercial environments and service delivery models

  • Proficiency in Microsoft Office and familiarity with purchase order systems

  • Strong communication and interpersonal skills – comfortable liaising across all levels

  • Problem-solver with a proactive, can-do attitude

  • A team player who builds strong relationships with colleagues and clients alike

  • Salary: upto £32,000 (pro rata) per annum, depending on experience
