FBM is a long-established independent firm of Estate & Letting Agents in Pembrokeshire. Our Residential Lettings department currently manages around 400 properties, providing a professional and personal service concentrating on quality properties throughout Pembrokeshire. With our team's extensive industry expertise and local knowledge, we're here to help people find and let their property.

We have an immediate vacancy for a part-time Lettings Accounts Administrator and require an enthusiastic and organised person to join our small dynamic team to assist with the day-to-day financial operations for our lettings business.

This is a permanent position based in our Pembroke office, working 15 hours per week over 2 days during the work week of Monday to Friday 9am - 5pm. The role offers a basic salary of £9,864 (£24,660 pro-rata), plus inclusion in the departmental profit share incentive scheme.

Previous experience with basic accounts/book-keeping is an advantage, but meticulous attention to detail and strong administrative and numeric skills are essential.

Liaising with landlords and tenants, undertaking a range of administrative/accounts duties relating to the letting process. You will be trained in the use of the Company's CRM system, maintaining and updating the property portfolio.

What the job involves:

  • Responsible for the day-to-day client account financial operations, ensuring all rent payments are collected and paid to our clients, using our CRM software.
  • Reconciliation of client accounts.
  • Handle a variety of property management tasks, maintaining customer service levels through managing enquiries from landlords and tenants via email, in-person & telephone enquiries in a professional manner.
  • Undertake a range of administrative duties relating to property management including monitoring maintenance works/contractor invoices and rent arrears.
  • Control, register and release tenancy deposits.
  • Requirement to obtain Rent Smart Wales agent licence - full support provided.
  • Assist with monthly reporting using our CRM software.

  • Organised, experienced, self-motivated person with excellent numeric or basic book-keeping skills.
  • Meticulous attention to detail.
  • Able to provide excellent customer service.
  • IT proficient with a good working knowledge of Microsoft 365.
  • Strong administrative skills.
  • Prepared to undertake training in the use of our property software database.
  • Good standard of personal presentation as well as great oral and written communication skills.
  • Friendly and professional manner.
  • Team player with a "can do" attitude.
